CO-ORDINATOR, ARMAGH PIPERS CLUB £32,000 per annum (35 hours per week) Armagh Pipers Club is a charity based in Armagh city, promoting and teaching traditional Irish music. It also publishes educational materials, CDs and DVDs, and hosts an annual international weekend festival of pipe-based music. The Club is a democratically-run Company Limited by Guarantee, led by an elected voluntary board of directors who are also the charity trustees. Due to the retirement of its current worker it now seeks to appoint to the full-time position of Co-ordinator. The Co-ordinator will be the general manager and sole employee of the Club, line-managed by a designated director, and will provide administrative support to the Director of Music, who designs and implements the education programme delivered by hourly-paid self-employed music tutors. The appointee will have additional duties in relation to the Clubs publications and sales, and occasional concerts or special events. These are set out in more detail below. The post is subject to a three-month probation period, during which support and training will be provided for up to 15 hours per week by the retired manager. The post is based in the Clubs office atAonach Mhacha, 74-76 English Street, Armagh BT61 7LG. Working hours The post requires some evening working (approximately 30 Monday evenings for classes and sessions, and a small number of Friday evening concerts), and may require very occasional weekend working (e.g. during a music festival). These hours will count towards the 35-hour average working week and do not attract extra pay. After completion of the office-based probation period, consideration will be given to flexible working arrangements. Remuneration £32,000 per annum for an average 35-hour week Pension scheme (Employer contribution 3%, Employee contribution 5%) 20 days leave plus public holidays Responsibilities of the post Administrative support to the September to June education programme, consisting of about 30 teaching dates (1,000+ hours of classes), including timetabling, assigning classrooms, managing the online enrolment system, dealing with online, card and cash payments, maintaining attendance registers and a contacts database, and attendance at class nights day-to-day financial management, recording income and expenditure, banking cash, liaising with the Clubs bank account nominees to ensure prompt payments, and maintaining the current spreadsheet system to facilitate financial transparency and the preparation of accounts preparing applications for annual funding (e.g. Arts Council), service level agreements (local Council) and one-off special funding; complying with any conditions of funding, maintaining such records and preparing such reports as the funder requires planning and organising fundraising events (e.g. benefit concerts) and campaigns (e.g. monthly subscribers) representing Armagh Pipers Club in meetings with external bodies preparing annual budgets, and monitoring income and expenditure so as to be able to provide financial updates to each board meeting planning ahead, including the production of annual and termly calendars of classes (taking account of local school and public holidays) and other events co-operating with the Company Secretary to ensure compliance with charity and company law, including submission of annual reports, accounts and confirmation statements, data protection and insurance requirements booking and scheduling London College of Music examinations, and processing payments managing tuition fees and sales of Club publications through the Clubs website managing purchasing of equipment, instruments, supplies and utilities administering the instrument loan scheme preparing and collating contracts for tutors and visiting artists and ensuring prompt payment of their invoices organising and assisting at all Club events, including evening classes and family sessions (on Mondays), small concerts (usually Friday evenings), major concerts (e.g. Annual Concert and possibly benefit concerts), public performances and festivals if required, assisting in planning and delivering an annual festival or other major event including budget, programming of concerts and sessions, contracts, venues, grants and sponsorship, publicity, liaison with designer and printer, payments, and co-ordination of volunteers schools outreach work, including marketing through schools, organising a special concert for schools, and possibly one-off school visits maintaining website and social media, including the online shop and a growing electronic archive documenting own working hours and leave in an electronic timesheet, supervised by line manager managing Dropbox, Vimeo, social media and payment processing accounts providing administrative support to the designated person for safeguarding matters public relations and communications, including a family newsletter and press releases premises management, including liaison with landlord, and with the school that rents classrooms for evening classes preparing for and servicing board meetings and general meetings dealing with correspondence and emails. We are not looking for specific qualifications and understand applicants may not currently fulfil all the criteria below; however candidates would need to demonstrate transferable work experience and their interest and ability in developing all necessary skills.
