Job Overview
We are seeking a highly organised and detail-oriented Rota and Office Administrator to join our team. The successful candidate will be responsible for managing and coordinating the rotas for our care staff, ensuring smooth and efficient operations within the company.

The successful candidate should ideally have experience with scheduling staff, working in an administrative environment and have strong IT skills with a good knowledge of the Microsoft Suite.
The post holder will work closely with our Service Manager to co-ordinate and apply rotas within our bespoke IT system. The rota administrator will be the main point of contact for any rota-related queries or issues and will deal with any changes due to staff absence or sickness. The post holder will ensure that all rotas are completed at least 6 weeks in advance and that annual leave requests are actioned in line with our Annual leave policy.
The successful applicant should be a team player who can use their initiative to prioritise their workload and work to agreed timescales. They should be flexible and adaptable in their approach, and have excellent communication and interpersonal skills when dealing with colleagues, clients and other professionals, face to faced, by E-mail or telephone.
This is a part-time position, Monday, Wednesday and Friday 9am-3pm (this can be flexible with prior arrangement). On-call duties will require the successful candidate to carry on-call duties every other week, Monday to Monday at an additional pay rate of £10 per day.
Duties
* Oversee daily office operations to ensure efficiency and productivity.
* Manage team schedules, meetings, and appointments while maintaining an organised calendar.
* Handle incoming calls with professionalism, demonstrating excellent phone etiquette.
* Maintain accurate records and files, ensuring all documentation is up to date.
* Assist with human resources tasks, including onboarding new staff and maintaining employee records.
* Utilise QuickBooks for basic financial management and record-keeping as needed.
* Supervise office staff, providing guidance and support to foster a collaborative environment.
* Prepare reports and presentations as required by management.
* Implement office policies and procedures to enhance organisational effectiveness.
Skills
* Strong organisational skills with the ability to manage multiple tasks simultaneously.
* Excellent communication skills, both verbal and written, to facilitate clear information exchange.
* Proficiency in clerical duties including data entry, filing, and document management.
* Experience with administrative tasks such as scheduling, correspondence, and record maintenance.
* Demonstrated ability in team management and supervising staff effectively.
* A proactive approach to problem-solving with strong attention to detail.
