Job Purpose To assist the Credit Control Team on all properties managed by AP&P. Communication Lines Head of Client Accounting Credit Control Manager Senior Credit Controller Support Team Colleagues All Internal Departments including Surveyors. Company Clients Key Objectives/Accountabilities Assist in chasing outstanding debts via phone, email, and letter. Send copy invoices and credit notes when needed. Assist in the collection of Quarter rent for all portfolio. Assisting Credit Controllers in achieving KPI’s for each Client. Collecting service charge and all other monies due for all properties in portfolio. Maintaining daily performance spreadsheet for collection reporting and adapting to meet client-specific requirements. Undertakes debtor reconciliations and cash allocations. Help in preparing team members for meetings. Anticipates developments and identifies accounts that will require special attention. Handles disputed accounts and negotiates to bring payment into line with terms of agreements. Maintains accurate individual measurement and performance statistics. Maintains accurate and up to date customer details and account records. Work with a minimum of supervision on collection of overdue accounts including historic debt. Has regular customer contact by phone and email. Uses initiative and imagination to achieve targeted results, while promoting customer goodwill. Makes adjustments, handles queries and resolves problems within company guidelines and policy. Liaising with Surveyors. Personal Specification These are the minimum key areas of knowledge, skills, and experience. A detailed conscientious organiser who has an enthusiastic approach to work. Has proven organisational skills and is able to learn new tasks/systems quickly. Some knowledge of Microsoft Word, Excel, and Outlook (Tramps, PowerPoint, SharePoint and teams an advantage). Ability to work independently with minimal supervision when necessary. Shows initiative in acting and responding appropriately. A team player with excellent interpersonal skills who interacts effectively with colleagues and clients. Ability to manage time and assist the team in meeting deadlines – a flexible approach to work is essential. Must be confident and have excellent communication skills. Proactive approach to various administrative issues. Has good numeracy skills and is able to write succinct and grammatically correct business correspondence.
