Ashton Recruitment require an Operations & Fleet Coordinator for our client based in Belfast Position: Operations & Fleet Coordinator Location: Belfast Duration: Permanent Pay Rate: £30,000 + (DOE) Hours of work: Monday - Friday, 08:00 - 17:00 (On call rota - approx one in 8 weeks) My client is a leading provider of road safety solutions, specialising in the installation and maintenance of vehicle restraint systems, traffic management services, and associated infrastructure works. With a strong reputation for quality, safety, and reliability, they work with local authorities, main contractors, and infrastructure partners across the UK and Ireland. The purpose of the role is to support the smooth running of the clients fleet and driver operations, ensuring all vehicles are maintained, operational and compliant; to provide essential administrative support to the operations team and to contribute to operational excellence across the business. Duties will include: Coordinate the booking of all company vehicles into their MOTs, servicing, repairs and maintenance schedules. Maintain the service and maintenance log for all vehicles, ensuring records are accurate, up to date and compliant with internal and regulatory requirements. Liaise with external garages, service providers and our drivers to schedule downtime, minimise disruption, and ensure the fleet remains fit for purpose. Monitor vehicle performance and alert relevant stakeholders when maintenance is due or escalated issues arise. Manage and track vehicle hire/loan arrangements when internal vehicles are unavailable. Oversee and maintain the in-vehicle tracking/telematics system (e.g., trackers) for all drivers and vehicles - ensure data is captured accurately and timely. Produce regular driver/vehicle tracking reports (e.g., mileage, utilisation, idle time, route analysis) and share with drivers, management and operations teams. Use tracker output to identify inefficiencies (e.g., excessive idle, non-productive journeys, deviations) and make recommendations for improvement. Manage the timesheet system for drivers and operations staff: collection, verification, submission and approval. Ensure timesheets reflect accurate hours, routes, vehicle usage, overtime and expenses, adhering to company policy. Act as a key administrative interface between operations, drivers, fleet suppliers and internal departments. Assist the Operations Manager and team with any ad-hoc fleet, logistics or operations-related tasks: loading/unloading scheduling, vehicle allocations, driver rostering support, route planning assistance. Essential Criteria: Proven experience in an operations, fleet coordination or administrative role, preferably in logistics, transport or similar. Excellent organisational and administrative skills; ability to manage multiple tasks and priorities. Strong attention to detail, accuracy in records, timesheets, reporting is essential. Good communication skills, able to liaise with drivers, external providers, ops teams and management. Comfortable working with data and reporting (e.g., tracking systems, spreadsheets). Proficient in Microsoft Office (especially Excel), comfortable learning new IT/systems. Ability to work proactively and anticipate operational needs; take initiative. Flexibility around hours if required, vehicle servicing may fall outside core hours. Valid driver's licence desirable (given the fleet-centric nature of the role).
