Main Purpose of the Role
The Office & Admissions Manager is responsible for delivering high quality administrative and organisational support across the school. The post holder will also manage admissions for the school and support other key processes within the school.
As the first point of contact for parents, visitors and other stakeholders, the post holder will act as an ambassador for the school, ensuring all interactions reflect and uphold the school’s values, vision and ethos.
Key Duties and Responsibilities
1.Admissions
1. Along with the Headteacher, manage the Admissions process and related administration for the school including in year admissions and starting school in Reception.
2. Liaise with West Sussex County Council on all Admission matters
3. Liaise with parents and carers on Admission queries
2. General Administration
4. Provide administration support for the management of School Policies
5. Update and maintain manual and computerised records and information systems.
6. Maintain the school calendar.
7. Assist with managing the school’s email inbox, ensuring timely responses and forwarding messages when necessary.
8. Manage and organise completed forms returned by parents.
9. Report issues relating to the school’s IT systems.
10. Organise and distribute incoming and outgoing post.
11. Provide administrative support to staff as needed.
12. Book training courses for staff and maintain associated records.
13. Carry out filing, printing and photocopying and maintain printers/photocopiers to ensure continuous availability.
14. Assist with organising parents’ evenings, meetings and school events, including room booking, equipment setup and refreshments.
15. Maintain records in line with the school’s retention schedule and data protection legislation, ensuring confidentiality at all times.
16. Managing of Medicines and school First Aid at Work representative
17. Hold a qualification or willingness to train as a First Aider
18. Any other duties required to support Head Teacher and school i.e.: Lunch Cover
19. Work collaboratively with the Trust to ensure consistency, accuracy and efficiency in administrative processes across the Trust.
3. Attendance Administration
20. Maintain accurate pupil attendance records and produce required reports.
21. Monitor late arrivals and contact parents/carers to establish reasons for absence, following safeguarding protocols.
4. Reception Duties
22. Act as the first point of contact for parents, visitors and other stakeholders.
23. Handle phone, email and face to face enquiries professionally and supportively.
24. Seek guidance from colleagues where necessary to resolve complex queries.
25. Respond promptly and accurately to messages, ensuring appropriate follow up.
26. Provide information and support to pupils and staff.
5. Security
27. Control access to the school in line with safeguarding procedures, including signing in visitors, checking identification, issuing passes and providing safeguarding information.
28. Remain vigilant to unknown individuals on the premises and report concerns immediately.
6. Written Communication
29. Draft and send professional emails that reflect the school’s values.
30. Support the preparation and distribution of communications (letters, newsletters, social media posts etc.) for parents, staff and stakeholders.
31. Assist with marketing and promotional activities.
32. Support with maintaining the School’s Website and communication apps.
7. HR and Support Function Responsibilities
33. Support the development and coordination of training programmes, learning opportunities and CPD for staff.
34. Support with monitoring and updating the Single Central Records (SCR)
35. Support with routine HR functions typically required in a school environment, which may include:
36. Logging and support with monitoring staff absence
37. Organising & recording staff training,
38. Supporting recruitment administration when required
39. Maintaining confidentiality and compliance with HR policies.
40. Work collaboratively with leaders to ensure support services operate efficiently and in line with school policies and statutory guidance.
41. Work closely with the Trust School Secretary/Administrative Assistant on HR related administration, data consistency, recruitment processes and compliance across the Trust.
