Responsibilities
* To provide a full and efficient secretarial service for their consultants, nursing team and the wider service. This will include ensuring that all documentation is produced to an excellent standard. Strong proof‑reading skills are required.
* Administrative functions including monitoring patient waiting lists and ensuring compliance with NHS standards.
* To coordinate and organise the attendance of patients to appointments in line with local team and Royal Devon University Healthcare NHS Foundation Trust arrangements as instructed.
* Effective communication, handling correspondence, liaising with multidisciplinary teams, and managing telephone and email communications.
* To contribute to the management of the consultants and team diary.
* To work with the team to ensure adequate cover is in place during periods of leave.
* To maintain electronic patient records in line with Trust policies.
* Governance adherence, including training and compliance with Trust policies.
* To assist other secretaries and members of the admin team in the achievement of a quality service.
Qualifications
An experienced secretary or administrator, preferably with a secretarial or healthcare background, or with relevant transferable skills, is required. The successful candidate will be a good team player, articulate, with excellent communication and interpersonal skills, able to prioritise competing workstreams. Strong organisational and IT skills and the ability to manage a caseload independently are essential.
The role involves working in a busy, demanding environment, supporting a multidisciplinary team and engaging with patients, relatives and healthcare professionals. Excellent customer‑service skills and an empathetic telephone manner are essential.
