Role Overview
The HR &Recruitment Assistant provides efficient, high‑quality administrative and operational support to both the HR and Recruitment teams. The role plays a key part in delivering a smooth onboarding experience, ensuring effective recruitment coordination, and supporting accurate HR administration across the employee lifecycle
KeyResponsibilities:
Recruitment
* Source and attract suitablecandidates for a range of roles acrossthe business.
* Advertise vacancies internally and externally using the ATS and job boards.
* Review applicants, shortlist candidates, and provide feedbackwhere appropriate.
* Conduct initial screening callsand record outcomes.
* Proactively sourcecandidates via job boards and LinkedIn.
* Arrange interviews and managecandidate communication throughout the process.
* Issue verbal and writtenoffers and completeNew Starter OfferForms.
* Contact successful candidates prior to theirfirst day.
* Liaise with recruitment agencieswhere applicable.
* Coordinate with hiring managersand IT to ensure equipment and access is arranged for new starters.
* Maintain and update the Recruitment Trackerspreadsheet.
* Create and update job descriptions using the correcttemplates.
* Support the onboarding and induction processfor all new starters.
HR
* Prepare and issue contractsof employment and new starterdocumentation.
* Update HR templates and track completion via e‑signature systems.
* Maintain the HR Bible to ensureprocesses and templates remain up to date.
* Complete pre‑employment checks including references, Experian screening, and DBS checks.
* Process payroll changes such as probationincreases, promotions, and referral payments.
* Create and maintain YouManage accounts for new starters.
* Send day‑one information to hiring managersand new starters.
* Support the Company Induction process.
* Issue first‑month review forms and trackcompletion.
* Collect right‑to‑work and identification documentation and maintainthe ID Tracker.
* Chase any required drivingdocumentation (IPM).
* Administer Specsavers eye‑care vouchers.
* Prepare employment letters including promotions, salary amendments, and contract extensions.
* Prepare resignation acknowledgement lettersand support offboarding.
* Support HR projects including policy updates and intranet improvements.
Training
* Ensure professional membership agreements and training agreements are completed and signed in YouManage (YM).
* Provide HR with detailsof leavers who require reimbursement of training costs.
Candidate Requirements / Personal Specification:
Essential Skills and Experience:
* Previous experience working in HR, recruitment, or a combinedHR/recruitment support role.
* Strong administrative skills with excellent accuracyand attention to detail.
* Ability to handle confidential and sensitive information with discretion.
* Experience using HR or recruitment systems (e.g., ATS or YouManage) or willingness to quickly learn new digital tools.
* Confident communicator with the abilityto build positiverelationships with candidates, colleagues, and managers.
* Strong organisational and time‑management skills, with the ability to manage multiple tasks and deadlines.
* Experience coordinating onboarding processes or supporting the employee lifecycle.
* Comfortable workingwith data, trackers, spreadsheets, and digitalworkflows.
* Ability to work proactively and use initiative to progress tasksindependently.
Desirable Skills
* Experience supporting training or L&Dadministration.
* Experience using LMS platformssuch as iHasco.
* Understanding of employment legislation related to onboarding and compliance.
* Experience producingemployment documentation or supporting HR compliance processes.
