Scheduling Administrator, Whiteley (Hampshire)
Job Overview: We are seeking a highly organized and detail-oriented Scheduling Administrator to join our team. The ideal candidate will be responsible for efficiently managing inbound calls and scheduling appointments for our team of engineers. This role requires excellent communication skills, strong attention to detail, and the ability to prioritize tasks effectively. The Scheduler/Planner will play a critical role in ensuring that our engineering team operates smoothly and meets all customer requirements.
Responsibilities:
1. Receive and manage inbound calls from customers and internal staff regarding service requests and appointments.
2. Coordinate with customers to schedule appointments for engineering services based on availability and urgency.
3. Liaise with the engineering team to assign and schedule appointments according to skillset, location, and workload.
4. Maintain accurate records of appointments, including details of the service requested, customer information, and engineer assignments.
5. Optimize scheduling to maximize efficiency and minimize travel time for engineers.
6. Communicate with customers to provide appointment confirmations, updates, and any necessary rescheduling.
7. Collaborate with other departments to ensure smooth coordination of resources and timely completion of service requests.
8. Monitor and track the progress of scheduled appointments to ensure timely completion and customer satisfaction.
9. Address any scheduling conflicts or issues promptly and proactively seek solutions.
10. Assist in generating reports and analyzing data related to scheduling and appointment management.
Requirements:
1. Proven experience in a scheduling, planning, or administrative role, preferably in a service-oriented industry.
2. Excellent communication skills, both verbal and written, with the ability to interact professionally with customers and team members.
3. Strong organizational skills and attention to detail, with the ability to manage multiple tasks simultaneously and prioritize effectively.
4. Proficiency in using scheduling software or tools to manage appointments and resources efficiently.
5. Ability to work independently and collaboratively in a fast-paced environment, with a proactive and solution-oriented approach.
6. Flexibility to adapt to changing priorities and schedules, with a positive attitude and willingness to learn.
7. Familiarity with basic office software (e.g., Microsoft Office Suite) and ability to learn new software applications quickly
