The Albion Surgery
The Albion Surgery is based in the centre of the town of Bexleyheath. We serve a population of just over 16,000 patients. We are a training practice for GPs, Nurses, Paramedics and Pharmacists as well as Kings Medical Students. We Employ 46 members of staff in various roles and the practice is currently run by the Practice Manager and 4 Partners. Overview of the role
To provide a high quality, professional reception and administrative service to patients, doctors, staff, colleagues, health service professionals and other allied health professionals. To act as the first point of contact for patients contacting the Practice and to portray the Practice in the highest possible professional basis. To ensure that enquiries from patients are efficiently and courteously handled. Work through tasks set by Doctors and scan relevant documents onto the system as well as monitoring the daily e-mails from external stakeholders.
Duties and Responsibilities
Answer all incoming telephone calls and deal with in an appropriate manner.
Co-ordinate and triage e-Consults ensuring they are distributed appropriately into the clinical system
Take daily messages, ensuring they are recorded accurately stating contact details and include all necessary information especially phone numbers
Manage clinical appointment system as per practice policy
Deal with all requests for home visits and ensure they are recorded on the system as per practice policy and include all necessary information.
Respond to all queries and requests for assistance from clinical teams, the practice manager, the admin team and other visitors.
Ensure all visitors are signed in and out in line with fire protocol.
Scanning – as required as per practice policy.
Processing of private paperwork – ensure relevant forms are completed and passed to the Administrator.
Collecting of fees owed – ensure receipts are given and information documented on the patients notes and slip is completed for Administrator to enter into cash book.
Security – ensure building is secure at the end of the day. All lights, computers and electrical equipment such as fans and fires should be switched off, windows secured, front door locked and alarm is activated.
Workflow tasks – check daily docman tasks and deal with as appropriate.
Training
Induction and training on the clinical systems used and specific role
Business Administrator Apprenticeship Level 3 delivered by PMA Ltd. This will include Functional Skills in English and maths if required.
Qualifications
* GCSE or equivalent English (Grade Grade 4/C or above) desirable
* GCSE or equivalent Maths (Grade Grade 4/C or above) desirable

£10,207 per annum
