Responsibilities:
* Provide a county-wide out‑patient appointment booking service for patients referred on an Urgent Suspected Cancer Pathway, ensuring wait‑time targets and efficient use of capacity.
* Monitor referrals, identify problems, take appropriate actions to manage referrals efficiently.
* Action clinic re‑scheduling to maintain clinical priorities and liaise directly with services/consultants where capacity problems exist.
* Make judgments and decisions on flexing template capacity to balance clinical priorities and wait‑time targets.
* Ensure patients receive a supportive and responsive service tailored to their specific needs, especially where barriers to understanding exist.
* Ensure accurate and timely data collection; advise the management team on over‑ or under‑capacity issues and suggest ways of addressing these.
* Efficiently monitor and maintain waiting lists, ensuring adherence to Trust and clinical targets for all sites on a county‑wide basis.
* Effectively monitor and maintain the e‑RS system, ensuring accuracy of data and resolving system errors.
* Provide an efficient, supportive and informative service to patients, relatives and carers.
* Use specialty capacity considering varying clinical abilities and specialisms within clinical teams, deciding on capacity allocation.
* Provide service managers with timely information to enable action on capacity shortfalls and give recommendations on reallocating capacity.
* Process referral letters timely, chasing with GPs and consultants as necessary.
* Cancel clinics promptly and reschedule appointments appropriately.
* Use tact and persuasion to encourage anxious or distressed patients to attend procedures, addressing misconceptions and unrealistic expectations.
* Assess incoming enquiries or unexpected events and decide on appropriate, timely action, including booking appointments appropriately.
Qualifications, Knowledge and Experience:
* Good communication skills, written and verbal.
* Good IT skills and high proficiency in Microsoft Office.
* Excellent organisational skills.
* Ability to learn various IT systems and use them together.
* Ability to work as part of a multidisciplinary environment.
* Knowledge of Cancer Waiting Time standards.
* NHS experience.
* Evidence of basic education (GCSE) with English, Mathematics or equivalent.
