Our Patient Advisor Team provides a key role in meeting the needs of our patients, often being the first point of contact in their healthcare journey.
We currently have a vacancy for both a Full Time and Part Time Patient Advisor to join our Patient Advisor Team.
Fulltime hours (38 hours) are on a shift pattern weekly of:
Week One - Monday, Tuesday, Thursday and Friday 8am to 4pm, Wednesday 10.30am to 6.30pm
Week Two - Monday, Tuesday, Thursday and Friday 10.30am to 6.30pm, Wednesday 8am to 4pm
Part-time hours available for 20 hours weekly:
Week 1: Monday and Tuesday 8am to 4pm and Friday 8am to 1pm
Week 2: Monday and Tuesdays 10.30am to 6.30pm and Friday 8am to 1pm
We offer a graded pay scale to reflect the skills of all of our team members, 6 weeks annual leave plus pro-rata Bank Holidays, NHS Pension Scheme and a competitive sick pay scheme.
As part of the Governments IAGP (Improved Access to General Practice) initiative, you may be required to participate in a rota to cover our IAGP commitments from 18.30 until 20.00 on a weekday and 9.00 to 12 noon on a Saturday. Additional hours will also be offered at an enhanced rate to cover vaccination clinics as required. Where all members of the Patient Advisor Team participate in covering these additional hours, this should amount to no more than once a month. These additional hours are however optional.
Job Summary
The Patient Advisor is the first point of contact for patients, providing a timely professional service, whether in person or on the phone. The post-holder will project a positive and friendly image to patients and other visitors and deal with queries in a professional, courteous and efficient way. Applicants should work well in a team environment but equally be able to complete assigned tasks independently where required.
Applicants should be respectful of colleagues and patients alike, be hard working and reliable. The successful applicant/s will play a vital role in supporting our Clinical Colleagues to ensure the care pathway offered at Bosvena is of a high standard.
KEY ROLES AND RESPONSIBILITIES
Telephony, Appointments and General Duties
* Receive telephone calls, ensuring accurate documentation of requests from patients for appointments and general enquiries.
* Front of House Reception duties - greeting patients, signposting to relevant services, providing information as required.
* Record visits accurately on telephone triage screen and ensure the allocated visiting Doctor receives these requests in person or by phone.
* Process Klinik form requests received from patients, directing these to the appropriate staff member/clinician in accordance with practice policy.
* Book appointments and recalls ensuring sufficient information is recorded to enable retrieval of the medical record.
* Use the Office computer system to access patient details and where necessary contact patients / authorised personnel as required ensuring all actions are documented.
* Filing & retrieving paperwork as required.
* Keep literature for patients current and up to date.
* Attend staff training events, as required.
* Record and relay messages to other members of the Practice Team.
* Action requests to other healthcare professionals / organisations (photocopying details where appropriate).
* At the clinicians request liaise with other agencies on behalf of the Doctors.
* Order transport via the Ambulance Service as requested by clinician.
* Maintain a clean and tidy workplace, including computer / telephone hygiene.
Document scanning
* Scanning Documents into patient's records using standard practice procedures - if required
Administrative support
* Opening & closure of Practice premises ensuring security at all times - including operation of alarm.
The following criteria will be used for Shortlisting. Any applications which do not meet the essential criteria will not be shortlisted for interview. Where we have a high number of applicants, the desirable criteria may be used where required to shortlist/throughout the interview process.
Essential Criteria
* 4 GCSE'S at Grade C/5 or above.
* Minimum of 2 years Office/Admin Experience.
* Good IT Skills.
* Competent at typing.
* Excellent customer service skills.
* Good listening skills.
* Empathy.
* Attention to Detail.
Desirable Criteria (but not essential)
* Experience in the NHS/GP Practice.
* Experience as a Patient Advisor.
* Data Input experience.
