The Receptionist will be an integral member of the Capital, Estates and Facilities Directorate, expected to work quickly, proactively, and accurately in a fast-paced environment to deliver a high-quality and comprehensive service.
The post holder will be interactive, liaising with a variety of internal and external customers to build excellent working relationships, providing an efficient, effective, and professional reception service.
Working as part of the Facilities Team, the post holder will collaborate closely with colleagues, offering flexible, comprehensive support, including covering for colleagues when necessary. Full training will be provided.
Responsibilities include:
1. Assisting with room booking requests and queries via telephone or email, booking rooms on behalf of users, and escalating issues to the Manager.
2. Using the MICAD Room Booking System to prevent double bookings.
3. Cancelling and rescheduling bookings to accommodate priority meetings as needed.
4. Acting as the first point of contact for visitors, ensuring a welcoming, courteous, and professional attitude at all times.
5. Ensuring visitors sign in/out and are provided with relevant identification.
6. Contacting staff to announce visitor arrivals.
7. Carrying out reception duties and processes promptly and accurately.
8. Responding to emails in the 'generic reception email' account and managing requests/queries.
9. Preparing meeting rooms before meetings, ensuring AV equipment works, and liaising with the Logistic Team for room setup.
10. Processing car parking payments (cash and card) and coordinating with the Help Desk Team about new payments.
