Job Description

We are looking for an Office Administrator to join our friendly and supportive team at Dutton Gregory Solicitors in our Liverpool office. This role is open to both full-time and part-time applicants, with a minimum requirement of three full working days per week and offers the chance to be part of a growing office.

This is an excellent opportunity for someone who is eager to develop their professional skills in a legal office environment.

As an Office Administrator, you will be the face of our Liverpool office and a vital part of our operations, ensuring everything runs smoothly behind the scenes. From greeting clients and visitors to keeping our facilities organised and professional, your contribution will help maintain the welcoming and efficient environment we pride ourselves on.

What We’re Looking For
* Professionalism & Communication: Strong written and verbal communication skills and a polished, professional approach.
* Customer Service Focus: Friendly and confident when dealing with clients, visitors, and colleagues.
* Organisational Skills: Highly organised with a keen eye for detail and the ability to manage multiple tasks.
* IT Proficiency: Comfortable using Microsoft Office and confident with data entry.
* Problem Solver: Able to handle day-to-day challenges with initiative and efficiency.
* Legal Sector Familiarity (desirable): Some experience or understanding of the legal industry is helpful but not essential.


Job Responsibilities

Key Responsibilities (include but are not limited to):
* Reception Duties: Answering the entry buzzer and greeting clients, visitors, and callers to ensure a warm and professional first impression.
* Meet & Greet and Security: Meeting visitors in the ground floor foyer and escorting them to Reception.
* Meeting Room & Diary Management: Ensuring meeting rooms are clean, well-presented, and properly set up before and after use.
* Internal Events: Assisting with the setup of internal events, including organising catering.
* Post & DX: Handling incoming and outgoing mail, including opening, scanning, and sorting.
* Facilities & Health & Safety: Supporting a safe and professional working environment.
* Administrative Support: Assisting the Office Manager and legal teams with various admin tasks including CMS entry and archiving.
* Supplies Management: Ordering and managing stock for stationery and refectory areas.
* Accounts Support: Assisting with financial administration tasks such as data entry and email correspondence.
