Overview
An exciting opportunity has arisen to join our dedicated Pain Management Team as a Receptionist/Administrator, supporting the smooth and efficient running of our clinic. This role involves being the first point of contact for patients and visitors, requiring excellent communication and organisational skills.
Responsibilities
* Greeting and checking in patients for appointments and treatments
* Handling telephone and face-to-face queries with empathy and efficiency
* Booking and managing new and follow-up appointments
* Communicating messages between patients and clinical staff
* Monitoring and maintaining department stock levels
* Supporting general administrative tasks to ensure smooth clinic operations
* Support for the clinic’s Healthcare Assistants (HCAs) when needed, under the direction of senior staff (Care Certificate preferred)

* Experience in an NHS healthcare environment is essential

* A valid Care Certificate (essential)

Typical Duties and Expectations
* Attend the reception area and provide a polite, professional service
* Assist with planning Pain clinics and lists to meet national and local waiting list targets
* Arrange patient admissions and distribute accurate appointment/information details; book transport/interpreters where necessary
* Work on own initiative within written guidelines and make last-minute changes to clinics/listing as needed
* Offer advice and share knowledge with colleagues; train or mentor new staff as part of induction
* Proficient computer skills; knowledge of Cerner and data recording/reporting is advantageous
* Handle results and investigation reports as necessary
* Order stationery/equipment and maintain stock levels
* Prepare medical case notes for pain patients as needed
* Data collection and input on the EPR system; maintain confidentiality at all times
* Handle internal and external telephone calls with appropriate judgement
* General office duties (photocopying, etc.)
* Provide cover for colleagues during sick/annual leave or busy periods to ensure smooth operation
* Maintain Health & Safety awareness and report issues to the Clinical Service Manager
* Support training of new staff and assist with induction and onboarding
* Ensure compliance with Calderdale and Huddersfield NHS Foundation Trust policies
* Other duties as delegated and appropriate to the post
