Position Summary
As a Sales and Marketing Coordinator, you play a vital role in providing administrative and operational support to the Sales and Marketing teams. Your responsibilities include managing general office duties such as monitoring and distributing emails, handling inquiries, and ensuring smooth daily operations. You actively contribute to the sales process by coordinating voucher requests, managing brochures and promotional materials, arranging gifts, and preparing for site visits. In collaboration with the Marketing team, you support the execution of the Marketing Plan through key activations and content creation, while ensuring consistent adherence to brand guidelines across all hotel touchpoints. Additionally, you are responsible for preparing and submitting reports as requested by the Director of Sales and Marketing.
This role requires strong organizational skills to effectively manage deadlines and maintain a well-structured administrative workflow.
You’ll need to know your stuff:
1. Under the direction of the Director of Sales and the Director of Sales & Marketing and Head of Marketing, collate and prepare reports
2. Manage administrative tasks within the office – replying to emails, research potential business opportunities and sharing them with the Sales and Marketing team for follow up.
3. Assist the team with VIP bedroom reservations as well as ensuring all appropriate alerts, traces and amenities are assigned.
4. Assist the team when VIP FAM & Site Visits are due in by putting together sales packs and hotel gift bags.
5. Work alongside the Director of Sales and Marketing, to organise and order gifts, department resources and merchandising.
6. Works with the Sales & Marketing Team to ensure all projects as assigned are completed with the highest degree of attention and keep to deadlines as set.
7. Answers telephones using the appropriate etiquette, including answering the phone within 3 rings and transferring calls when and where necessary.
8. Act as a resource for other hotel departments and key stakeholders when a request for brochures or sales information is requested.
9. Use MGS, Marsha, Opera, and internal programs to produce reports as and when required and requested.
10. Keep apprised of hotel developments and ensure all marketing and branded collateral and correspondence is kept up to date.
11. Assist in the content creation alongside the Marketing team.
12. Effectively develops relationships with key internal and external stakeholders and communicate information from Sales & Marketing Team.
13. Creates contracts as required for Corporate, FIT and Group proposals.
14. Actively participate in finance meetings, manage the invoices and budget alongside the Director of Sales and Marketing.
15. Follows all hotel and company processes and procedures.
