Due to continued growth, we're looking for a highly organised and proactive Service Coordinator to join our dynamic team.
The Role
As a Service Coordinator, you'll play a key role in ensuring the smooth delivery of our service operations. You'll be the vital link between our clients, engineers, and management team—scheduling jobs, managing documentation, and ensuring all service-related activities run efficiently and professionally.
Responsibilities
* Schedule and coordinate service and maintenance visits for our field engineers for both planned and reactive jobs.
* Liaise with clients to arrange access, confirm bookings, and follow up on completed work
* Raising and sending all RAMS to customers
* Manage engineer workloads and respond to changing priorities throughout the day
* Reviewing engineers job sheets for return visits, required parts or additional quotations
* Providing quotations to customers for small works such as service visits, breakdowns or spare parts.
* Sourcing spare parts as per engineers request/report sheets
* Prepare and issue job documentation, service reports, and compliance certificates
* Maintain accurate records on the internal systems (e.g. job tracking, invoicing, etc.)
* Handle incoming calls and emails, ensuring a high standard of customer service
* Support the service manager with administrative tasks and project coordination
What We're Looking For
* Previous experience in a service coordinator, scheduler, or dispatch role (preferably in engineering, HVAC, or industrial services)
* Excellent organisational and multitasking skills
* Strong communication skills and a customer-focused approach
* Competent with Microsoft Office and scheduling/CRM systems
* Calm under pressure with the ability to adapt to changing priorities
* A team player with a proactive and positive attitude
