A new and exciting opportunity has arisen for an Administrative assistance to join our growing accountancy practice based in Abbots Leigh, Bristol. The team has over 50 years' experience within practice, providing a full suite of accounting and business management support to an array of clients.
As Administrative assistant, you will play a key role in supporting the day-to-day running of our office. This is a varied role that would suit someone proactive, detail-oriented, and keen to work as part of a close-knit team.
You should have strong communication, organisation, and time-management skills, along with a professional attitude. Previous administration experience with office management software and handling of sensitive data with regulations such as GDPR is desirable.
The standard working hours are Monday to Friday, 8:00am to 4:00pm.
Your role will be to work closely with the Directors, senior management and core staff to operate support functions.
The responsibilities will vary on a day-to-day basis with the main duties outlined below:
· Open post and scan to relevant team members or clients
· Meet and greet clients, arranging meetings
· Answering and directing phone calls
· Maintain the hard/paper records
· Onboarding new clients; from introduction to the completion of engagement
· Marketing admin of ancillary services and maintaining internal lists for billing
· Issue customer invoices, credit control management and chasing outstanding accounts
· Maintain the practice management and other systems for completeness and accuracy
· Other ad hoc duties as and when required
Essential Skills & Experience:
· Strong IT skills (Microsoft Office – Word, Excel, Outlook)
· Excellent written and verbal communication skills
· Ability to multi-task and prioritise workload effectively
· Attention to detail and accuracy
Desirable:
· Previous office/administration experience an advantage
· Experience in an accounting or financial services environment
· Knowledge of Xero and Digita, or similar accounting software
