About the role
As the Process Lead, you will have an impact on our operational success, processes, and compliance of our screening services. Therefore, you will be conducting team audits in accordance with established procedures, ensuring all compliance is adhered to regarding DBS, Access NI and Disclosure Scotland checks. The desired outcome of this will be to ensure compliance and quality standards deliver enhanced satisfaction for both candidates and clients throughout all of our screening process.
Key responsibilities of the role include:
* Oversee the maintenance of the team's daily, weekly, and monthly workflows, conducting regular audits in accordance with established procedures to ensure compliance and adherence to quality standards.
* Ensure all compliance is adhered to regarding DBS, Access NI and Disclosure Scotland checks and responding to any queries and/or questions within the SLA.
* Maintain Countersignatory Status & DBS/AccessNI Compliance – Act as the organisation’s authorised countersignatory, ensuring full compliance with the DBS/AccessNI Code of Practice, safeguarding legislation, and GDPR requirements.
* Verify applicant eligibility and identity to prescribed standards, approve and submit criminal record check applications, maintain accurate audit records, and uphold minimum annual submission thresholds.
* Serve as the primary liaison with regulatory bodies, ensuring readiness for audits and safeguarding the organisation’s ability to process disclosure checks.
* Demonstrate expertise in the screening process from start to completion. Will also be responsible for the screening of a limited number of own cases.
* Provide comprehensive training on new procedures for all staff members. Ensure that all staff are adequately trained in new processes and that changes are smoothly integrated into everyday operations.
* Enhance operational efficiency by regularly reviewing the technical documents, processes, including requirements from clients and candidates and identifying areas for improvement to minimise bottlenecks.
* Collaborate with the operations manager to plan and monitor optimal staffing requirements to meet business and operational needs
* Conduct comprehensive performance reviews with the operations manager, coordinating any necessary training requirements and driving improvements based on quality assessments of team members' work.
Your ideal experience & competencies
Ideally, you would have at least 2 years screening experience with minimum of 4 years’ experience relating to customer support/back office working
You must have a thorough understanding of screening processes including all checks and referencing, have great enthusiasm and attitude for the role, a high level of resilience and strong written and verbal communication and emotional intelligence.

* Have strong coordinating skills.
* Proficient in Office 365
