We are on the lookout for a dynamic Executive Assistant to support our Founder & Managing Director in managing and coordinating daily activities. The ideal candidate will be highly organised, possess excellent communication skills, and demonstrate the ability to multitask effectively in a fast-paced environment.
This role offers the opportunity to work closely with senior leadership and contribute to the success of our company, This is a key role in providing efficient Executive Assistant duties and administration support to the MD and other senior members of the team in an entrepreneurial and fast-paced consumer goods company, assisting to fulfil their responsibilities and activities and to help the business achieve its vision.
As Executive Assistant you will need to be adaptable, and naturally switched on, love problem-solving, communicate with confidence and bring clarity to complexity and thrive on taking ownership of situations.
Purpose of the role :
To add value to the company's senior management team by supporting them with everyday tasks and so to free up their time from organisation/administrative duties so maximum time on strategic tasks.
Executive Assistant Main Responsibilities :
* Manage diaries and organise meetings and appointments.
* Assist with travel and accommodation arrangements.
* Provide in-house point of contact to assist directors and senior employees with day to-day enquiries and communication regarding company matters.
* Attend management meetings and co-ordinate follow-up actions and projects within agreed time-frames.
* Assist management team with business-development projects.
* Provide management team with timely progress reports on development projects.
* Be willing to train to a proficient standard on project management and CRM software systems.
* Collating and submitting management team's expenses claims to finance department.
* Liaise between senior management, team-leads, and other employees as needed.
* Assist with event management, including staff parties, sales meetings, excursions, and off-site activities.
* Support Staff with customer visits including hotel and dinner reservations and lunches.
* Book and manage the MD’s and other senior employees overseas travel arrangements including flights, accommodation,
* Support the management team with staff performance reviews. Write meeting notes, ensure they are signed by both staff member and department manager. File a copy away in personnel files.
* Contribute to the productivity, well-being, and happiness of staff and management by assisting with communications, and so enabling day-to-day tasks to be completed on time.
* Ad-hoc support with other tasks or duties as requested by the MD or senior management team.
Executive Assistant Skill and Experience Required :
* Discretion and trustworthiness: you will often be party of confidential information.
* 2 Years Proven experience in Executive Assistant/PA role or similar.
* Flexibility and adaptability.
* Excellent verbal and written communication skills.
* Proficient in Microsoft Office Suite (Word, Excel, Outlook)
* Organisational skills and the ability to multitask.
* The ability to be proactive and take the initiative.
* Tact and diplomacy.
* A good working knowledge of standard software packages and the ability to learn company-specific software if required.
This is an office based position and comes with an excellent salary of 30K – 35K per annum DOE. part - time hours may be considered for the right applicant.
