Office Administrator – Full Time
Location: Liverpool Head Office
Company: Vortex Gas Ltd
Hours: Monday to Friday, 8:00am – 5:00pm
Salary: Competitive, based on experience

We’re a close-knit team that takes pride in professionalism, reliability, and excellent customer service, and we’re now looking for an experienced Office Administrator to join our team full-time.


The Role

As Office Administrator, you’ll play a key role in keeping our operations running smoothly. You’ll be the first point of contact for clients, suppliers, and engineers, providing vital support to ensure jobs are scheduled, documented, and completed efficiently. This is a hands-on role requiring strong organisational skills, attention to detail, and the ability to work confidently in a busy environment.


Key Responsibilities

* Coordinate daily administrative operations and support field engineers and management.
* Handle incoming calls, emails, and client enquiries in a professional manner.
* Schedule and manage job bookings, service visits, and planned maintenance.
* Prepare and issue quotations, purchase orders, and invoices.
* Maintain accurate job records, compliance documents, and certification.
* Liaise with suppliers to order materials and manage deliveries.
* Assist with accounts administration including timesheets and expenses.
* Support management with documentation such as RAMS and service reports.


What We’re Looking For

* Previous office administration experience is essential — ideally within a construction, engineering, or facilities management environment.
* Strong organisational and multitasking skills.
* Confident communicator with good written and verbal skills.
* Competent with Microsoft Office (Word, Excel, Outlook).
* Experience using scheduling or CRM software (advantageous).
* Positive, proactive attitude with a strong work ethic.
