Sales Administrator (Maternity Leave Cover)
Location: Malvern
Hours: Monday to Friday – minimum 09:30–13:30 (20 hours/week), maximum 09:00–15:00 with a 30-minute lunch (30 hours/week)
Pay Rate: £12.78 per hour
Contract: Fixed-term maternity cover (12 months)
Key Responsibilities Sales & Customer Service
1. Process sales orders from inbox to invoicing
2. Update order delivery dates and communicate changes to customers
3. Book transport, prepare delivery notes, and print shipping labels
4. Issue build slips to production/warehouse based on available stock
5. Input completed jobs into MRP system
6. Issue weekly sales invoices and monthly reports
7. Provide proof of delivery and commercial export documents when needed
8. Liaise with internal departments and customers to ensure smooth service
9. Act as first contact for incoming sales/spares enquiries
General Administration
10. Answer calls and emails in a professional manner
11. Greet visitors and manage the sign-in process
12. Enter production data and timesheets into the system
13. Print and compile product packs (e.g. labels and manuals)
14. Assist with report writing, record keeping, and filing
15. Occasionally assist with packing and despatching spare parts
What We’re Looking For
16. Previous experience in sales administration is essential
17. Strong written and verbal communication skills
18. Professional, reliable, and well-organised
19. High attention to detail and methodical approach
20. Confident using Microsoft Office (Excel, Outlook, Word)
21. Familiarity with MRP/ERP software (preferred)
22. GCSEs in English and Maths (Grade C or above)
