The sexual health, HIV and Gender Aff. Surgery teams (GAS) in St Stephen's centre are looking for a flexible and dedicated administrator to be the first point of contact for all patients attending our services.
We are looking for people who are motivated, enthusiastic and possess excellent interpersonal and communication skills, along with the ability to work with a diverse range of clients in an innovative setting, ensuring all patient queries are dealt with in a professional, polite and friendly manner.
The post holder will work within the areas as needed to maintain continuity of cover at all times, ensuring clear communication pathways between clinical and administration staff.
Key Responsibilities
* Act as the first point of contact for all patients attending or contacting JHC, Kobler OPD, GDU services and Gender Aff. Surgery (GAS) service on the 3rd floor SSC.
* Provide reception and administrative cover for Gender Aff. Surgery patients and other services.
* Work in the SSC GUM/HIV call centre on a rotational basis, answering calls in a timely and professional manner in accordance with the Trust values.
* Participate in the management of a shared SSC email inbox for external and professional enquiries, directing queries appropriately.
* Maintain accurate patient clinic records, including appointments and changes to demographic or contact information, using systems such as Cerner, GUM EPR and DrDoctor.
* Book new and follow‑up outpatient appointments for GAS patients, and manage the Kobler Clinic DNA recall system.
* Utilise and manage patient appointment reminder systems and send designated SMS messages for appointments and service‑related information.
* Ensure confidentiality and information governance standards are applied at all times.
* Assist with patient complaints and compliments, promote Family and Friends feedback, and promote Sexual Health London testing services.
* Work closely with nurses in charge of GUM/GAS clinics to advise patients on waiting times and support them during clinic.
* Update patient demographics, manage duplicate registrations, and note changes in circumstances such as GP contact details.
* Manage calls efficiently within performance standards and provide flexible rota coverage, including late clinics and Saturdays as required.
* Maintain the appointment system using Cerner scheduling, arrange additional services such as transport or interpreting, and take part in audits of outpatient activity.
