Are you an experienced and motivated manager with a passionfor leading teams and improving patient care?We are seeking an experienced Practice Manager to join our friendly,forward-thinking GP practice in West Bridgford.

As a key member of our leadership team, you will providestrategic and operational management to ensure the smooth, efficient, andeffective running of the practice. You will work closely with the GP partnersand wider team to deliver high-quality primary care services to our localcommunity.


Main duties of the job

Key Responsibilities

* Lead and manage the day-to-day operations of the practice
* Oversee HR processes including recruitment, performance management, and staff development
* Manage practice finances, budgets, and business planning
* Support compliance with CQC, NHS, and contractual requirements
* Drive service improvement and efficiency across clinical and administrative teams
* Maintain strong relationships with patients, staff, and external stakeholders

Job Title: PracticeManager

Responsible to: ThePartners

Responsible for: AllSalaried and Contracted Staff

Job Purpose: Providestrategic and operational leadership and management skills to enable thePractice to meet its agreed aims and objectives within a profitable, efficient,safe and effective working environment.

Duties and Responsibilities

Strategic, Management and Planning

* Keep abreast of current affairs and identifypotential threats and opportunities
* Contribute to Practice strategy; formulateobjectives and research and develop ideas for future Practice development
* Monitor and evaluate performance of the Practiceteam against objectives; identify and manage change
* Develop and maintain effective communicationboth within the Practice and with relevant outside agencies
* Prepare and update the Practice DevelopmentPlan, oversee the implementation of the aims and objectives
* Assess and evaluate accommodation requirementsand manage development and expansion plans
* Manage Practice budgets and seek to maximiseincome
* Through negotiation with the commissioningbodies and NHS England, and preparation and submission of regular developmentplans, ensure the Practice receives an appropriate and equitable allocation ofresources
* Understand and report on the financialimplications of contract and legislation changes
* Manage Practice accounts; submit periodic andyear-end figures promptly and liaise with the Practice accountant
* Monitor cash-flow, prepare regular forecasts andreports to the partners
* Manage and monitor the staff payroll system,PAYE and pensions for Practice staff and maintain appropriate records
* Manage systems for handling and recording ofcash and cheques and petty cash.
* Monitor QOF to ensure maximum points areachieved. Monitor and claim for income due from enhanced service claims.

Human Resources

* Oversee the recruitment and retention of staffand provide a general personnel management service
* Ensure that all staff are legally and gainfullyemployed. Monitor skill-mix anddeployment of staff
* Manage staffing levels within target budgets
* Evaluate, organise and oversee staff inductionand training and ensure that all staff are adequately trained to fulfil theirrole
* Develop and implement effective staff appraisaland performance monitoring systems
* Support and mentor staff, both as individualsand as team members
* Maintain up-to-date HR documentation (includingjob descriptions, employment contracts with variances, staff handbook) in linewith employment legislation
* Implement effective systems for the resolutionof disputes and grievances
* Keep abreast of changes in employmentlegislation

Organisational

* Convene meetings, prepare agendas and ensuredistribution of minutes as necessary
* Develop Practice protocols, procedures, andother practice documentation. Review and update as required
* Ensure that Practice premises and equipment areproperly maintained and cleaned and that adequate fire prevention and securitysystems are in place
* Manage the procurement of Practice equipment,supplies and services within target budgets
* Develop and review Health & Safety policiesand procedures and keep abreast of current legislation
* Arrange appropriate insurance cover
* Ensure that the Practice has adequate businesscontinuity procedures in place
* Adopt a strategic approach to the developmentand management of patient services
* Ensure service development and delivery is inaccordance with local and national guidelines and that the Practice complieswith NHS contractual obligations in relation to patient care
* Act as the Practices carers champion
* Maintain registration policies and monitorpatient turnover and capitation
* Develop and implement an effective complaintsmanagement and significant event reporting systems
* Oversee and/or organise surgery timetables, dutyrotas and holiday cover together with the appointments system
* Routinely monitor and assess Practiceperformance against patient access and demand management targets
* Liaise with patient groups and take an activerole with the Practice PPG

Information Technology and Data Services

* Evaluate and plan Practice IT implementation andmodernisation acting as the Practice contact with the contracted ICT supportorganisation(s), together with ensuring that there is adequate and appropriatesupport for the Practices systems and infrastructure
* Keep abreast of the latest IT developments inall aspects of primary care and regularly update the Practice team
* Motivate, support and monitor staff in the useof IT; organise, oversee and evaluate IT training
* Ensure that the Practice has effective IT datasecurity and back-up regimes
* Liaise with the commissioning organisation(s)and NHS England regarding systems procurement, IT funding and national ITdevelopment programmes.
* Develop and maintain the Practices website
* Ensure that the Clinical software and otherassociated systems are used in the most appropriate and effective manner by allstaff
* Act as the RA for the organisation

Information Governance & Confidentiality

* Responsible as the Information Governance leadand Information Asset Owner (IAO). To assist the Senior Information Risk Owneras Liaison Officer, acting up as required
* Ensure that all appropriate IG records andsubmissions are completed to the highest standards
* Manage all subject access requests and ensurethat these and other requests for medical information are processed andprovided appropriately
* Ensure that all policies are up to dateregarding information governance
* To promote and adhere to the following:
* In the course of seeking treatment, patients entrust uswith, or allow us to gather, sensitive information in relation to their healthand other matters. They do so inconfidence and have the right to expect that staff will respect their privacyand act appropriately

They may also have access toinformation relating to the Practice as a business organisation. All such information from any source is to beregarded as strictly confidential
* Information relating to patients, carers, colleagues, otherhealthcare workers or the business of the Practice may only be divulged toauthorised persons in accordance with the Practice policies and proceduresrelating to confidentiality and the protection of personal and sensitive data

* Act as the Practice health and safety lead

* Carry out timely risk assessments in allrelevant work activities and undertake such activities in a way that managesthose risks
* Liaise with the Infection Control lead usingappropriate procedures, maintaining work areas in a tidy and safe way and freefrom hazards
* Ensure training, knowledge and skills are up todate and that these are used effectively
* To report potential risks identified and toensure any reported risks are handles appropriately

Quality

* Ensure the Practice meets and exceeds thestandards set by the Care Quality Commission and is placed to evidence this
* Effectively manage own time, workload andresources
* Work effectively with individuals in otheragencies to meet patient needs
* Assess own performance and take accountabilityfor own actions, either directly or under supervision
* Contribute to the effectiveness of the team byreflecting on own and team activities and making suggestions on ways to improveand enhance the teams performance
* Actively help develop & implement integratedquality systems in conjunction with other practices

Communication

* Recognise the importance of effectivecommunication within the team and with all other stakeholders
* Recognize peoples needs for alternative methodsof communication and respond accordingly
* Communicate effectively with patients, carersand all other stakeholders

Implementation of Services

* Apply Practice policies, standards and guidance
* Discuss with stakeholders how the policies,standards and guidelines will affect own work
* Participate in audits where appropriate
* Manage all aspects of the estates functionworking with site management and NHS Property Services to ensure a safe andclean building that conforms to all relevant legislation

Other

* Attend meetings and participate in workgroups.Some evening and weekend work may be required.

Person Specification


Qualifications

* Experience Practice Management in a health care setting
* Proven experience of Financial management
* Proven experience of Human Resources and People Management
* Evidence of CPD
* Relevant management or accounting qualification
