Personal Assistant (Regional Leadership Team) – Midlands
Overview
Our client, a national public body within the heritage and cultural sector, is seeking a highly organised Personal Assistant to provide proactive administrative and diary management support to senior regional leaders. This is a full-time, permanent role based in Birmingham, with hybrid working available.
This position suits an experienced PA/Executive Assistant who thrives in a fast-paced environment, can manage competing priorities with confidence, and is comfortable coordinating internal and external meetings, including site visits.
Responsibilities
* Provide administrative, coordination, and diary management support to two senior regional directors
* Deliver ad hoc administrative support to the wider regional leadership team as required
* Manage complex diaries, forward planning, and scheduling for regular and ad hoc meetings
* Organise internal and external meetings, including preparation of agendas, papers, and follow-up actions where appropriate
* Coordinate site visits, including logistical arrangements and completion of site visit risk assessments
* Set up and manage virtual and in-person meetings using platforms such as Microsoft Teams (or equivalent)
* Maintain online administrative systems and track incoming/outgoing information and actions
* Build effective working relationships with a wide range of stakeholders, ensuring a professional and responsive service
Requirements
* Proven administrative and office organisation experience, ideally supporting senior stakeholders
* High accuracy and attention to detail, with strong document and diary management capability
* Advanced IT skills, including strong proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook 365)
* Experience setting up and managing physical and virtual meetings (Teams or similar platforms)
* Strong interpersonal skills and the ability to build and maintain effective relationships
* Demonstrable ability to work under pressure, manage conflicting demands, and prioritise multiple tasks effectively
* Experience maintaining online office and administrative systems and tracking actions and information flows
