ADMINISTRATOR – FACILTIES MANAGEMENT ROMFORD What you will be doing: An opportunity has arisen for an Administrator to join the team at Galliford Try within our Facilities Management Business. Supporting the Facilities Management Projects with processing of invoices via the Orbit System. Raising of Purchase orders and Sub-Contract orders in Orbit as instructed by the Line Manager. Taking ownership of Project related reports, working along side the Finance and Commercial Teams. Supporting the project with Administrational support working along side the Project Operations Teams. Taking ownership of invoice trackers and FM Contract trackers. Deal with all enquires to the project office from Clients, Customers, Galliford Try Facilities Management (GTFM) staff via telephone, email, or direct access/attendance at the project office Deal with electronic communications in accordance with Galliford Try Policies Provide administrative support to project staff who do not have electronic access to Galliford Try systems including and not limited to the Galliford Try Oracle based programmes for employment services. Raising and closing of Tasks in the CAFM system for Lifecycle, Variations or Chargeable works as instructed by the Line Manager Supporting the Jeopardy & Planning Team for CAFM system updates Receive and appropriately action subcontract or supplier invoices in accordance with Galliford Try policies and procedures. Provide general clerical assistance as required by the project team including but not limited to the taking of notes and minutes of meetings and the production of such documents as appropriate Undertake the filing of project and GTFM documents both in electronic and paper format as required Assist in the generation of GTFM invoices to Clients and other recipients of GTFM services Assist the Contract Manager/Assistant FM on organising delivering of Toolbox Talks. Maintain the stock of office consumables, uniform, PPE for use by the GTFM team at the required levels and provide a proper control on the purchase and issue of stationery. Understanding GTFM processes to assist with remote cover across the UK contracts About You: Highly organised and able to multitask with ease Previous experience as an Administrator in a similar role Confident with Microsoft office software (e.g. MS Office), including word processors, spreadsheets and presentations Confident with Microsoft Excel is essential for this role.
