We are looking for a Sales Administrator to join our Sales team on a Fixed-term contract until May 2026. In this role, you will be responsible for managing administrative tasks, enabling sales representatives to focus on client-facing activities. Reporting to the Sales Operations Manager, you will have the opportunity to support them in delivering expert administrative services to team. Salary: Up to £25,000, depending upon skills and experience. You will: Coordinate the Company’s timely and professional response to varying sales related invitations, to include but not be limited to Pre-Qualifications, Request for Information, Invitation to Tender, Request for Quotes etc. Support the wider sales team, when required, with additional information during pre-tender and post-tender phases. Format and review sales documentation to the required company standard, ensuring consistency and quality of responses. Ensure all tender documentation is archived for future reference and dispute management. Regularly update and maintain to the CRM System (Microsoft Dynamics). Assist with maintenance of company subscriptions and portals (eg. Achilles, Ariba, SEQual). Monitor the sales inboxes daily, including distributing and responding as required. Assist with completion of sales documentation e.g. PQQs, Supplier Registration Forms. Maintain an archive of support contracts, agreed T&Cs and customer rates. Track support renewals, ensuring any are flagged to the Group Proposals Manager 3 months prior to expiry date. Maintain structure and validity to the sales servers. Review Purchase Orders for commercial accuracy then process and acknowledge. Ensure all proposals comply with the Company’s quality standards and that these standards are embedded in tenders and proposals, additionally ensuring complete confidentiality of all tender documentation during the progress of the tender. Ensure that the internal sales processes are maintained throughout the sales cycle. Successfully identify and complete all relevant training both in-house and external, as required. Follow all health and safety regulations, procedures and protocols. Assist with any other duties reasonably requested and in line with the requirements of the post.
