Age Concern are looking to recruit a Charity Administrator on a job-share basis for our busy Barnstaple Office.
Are you an organised and proactive administrator with strong financial and IT/database skills? We're looking for someone to share a vital role in supporting the operational, financial, and administrative functions of our Charity.

About the Role
You will work closely with the existing role holder, the CEO, staff, volunteers, and trustees to ensure the smooth running of our office and the effective delivery of financial and administrative functions.
Key Responsibilities (shared across the job share team):
* Provide high-level administrative support to the CEO, staff, volunteers, and board of trustees
* Oversee daily office operations including supplies, petty cash, utilities, and office space management
* Manage bookkeeping using the charity's accounting system, including processing invoices, payments, and preparing financial reports
* Administer payroll and staff/volunteer expense payments
* Maintain Gift Aid records and submit claims
* Support HR administration: contracts, holidays, sickness, policies, recruitment admin
* Prepare and submit documents for the Charity Commission and support AGM organisation
* Act as the charity's Data Controller and GDPR lead, overseeing contact management systems and reporting
* Organise and minute internal/external meetings and ensure timely distribution of papers
* Coordinate annual events, volunteer awards, and organisational campaigns
* Provide basic IT support and liaise with external IT support provider, including helping with MS Office support
* Database management and reporting
* Manage office insurance, fire safety, health and safety compliance and reviews
* Send acknowledgements to donors, funders and supporters
* Assist with running the Housekeeping Service offered by Age Concern
* Covering the phone for other staff members when on holiday or out of the office
Key Result Areas
Together with the existing post holder you will be jointly responsible for ensuring:
* Accurate and timely financial reporting and invoice processing
* Prompt payment of staff and volunteer expenses
* Annual report production within 3 months of year-end
* Charity Commission annual returns submitted on time
* HR records, contracts and policies are current and reviewed annually
* Meeting minutes are completed and distributed within 7 days
* Charity insurance and utility contracts are reviewed annually
* Volunteer administration support is in place
* AGM arrangements comply with the constitution and are delivered effectively
* Donor and supporter acknowledgements are issued within 5 working days
About You
We are looking for candidates who are:
· Experienced Administrators and Bookkeepers
* Highly organised and able to manage multiple tasks with accuracy and attention to detail
* Comfortable working independently and collaboratively in a job share arrangement
* Familiar with GDPR, Charity Commission requirements, and HR admin procedures
* Proficient in Microsoft Office (especially Outlook, Word, Excel)
* Proficient working with databases
* Able to work flexibly, communicate clearly, and maintain confidentiality
Previous experience in the charity or not-for-profit sector would be an advantage, but not essential. It is expected that the working days will be Wednesday, Thursday and Friday.
