Role Purpose & Context

Role Summary

* Provide support to trainers to ensure that our apprenticeship programmes are delivered to an exceptional standard
* To coordinate the smooth progression of apprentices throughout their training programme, from initial enquiry to End Point Assessment (EPA)
* Provide additional Coaching Sessions where needed to vulnerable apprentices or apprentices at risk to ensure progress is timely and actions are completed
* Act as sub-nominee and Deputy Safeguarding Lead
* In conjunction with the Business Development Executive, administer the Apprenticeship Service account, ensuring apprentices are added in a timely manner and to assist employers reserving funding and vacancy matching
* Compliance check registrations and certificate claims
* Compliance check the Off the Job categorisation and monitoring, attendance and on programme monitoring administered by the Learning Support and Administrative Officer
* To arrange pre-enrolment processes such as initial assessment tests, complete learner funding eligibility checks, off the job training monitoring and calculations
* Producing, collating and collecting learner and employer documentation.

Key Responsibilities

* Customer focused and proactive, your key responsibilities will include:
* Administer and collate learner and employer evaluation systems and analysis.
* Participate in regulatory compliance activities, either via the ESFA or Ofsted
* Facilitate the coordination and scheduling of tripartite apprentice reviews
* Be responsible for the onboarding process to include scheduling timetables, registers, enrolling onto different platforms, ordering study guides and confirming professional memberships
* Liaise with trainers to schedule timetables for the sessions of the learners, create the joining instructions and ensure the apprentices receive these in a timely manner
* Support co-ordination of any interventions required to facilitate a smooth apprentice journey
* Work with Curriculum design teams to oversee production of materials and launch new programmes
* Preparing monthly ILR returns and run associated validation checks.
* Checking ESFA and PICS Monthly Reports for errors, reconciliation of co investment amounts, payments and incentives
* Reconciling ESFA Payments with PICS
* Liaise with Finance regarding Incentives payments, co-investment invoices and 3 monthly checks on receipt of these, credit notes in relation to breaks in learning and withdrawals in accordance with funding rules
* In conjunction with IQA and Apprenticeships Lead, participate in recruitment /induction and PD Planning for new and existing trainers.Set and monitor caseloads, withdrawal rates and satisfaction results using a trainer performance management tracker which will identify issues of concerns or compliments
* Support the Business Development team with outgoing communications
* Monitoring of learner journal submissions, monitoring scorecard completion and review, monitoring of allocated One File course completion, monitoring of attendance targets and Off-The-Job log submissions/categorisation with the assistance of the trainer through their 1-1 visit responsibilities
* Reporting on auditing to team to action, allow intervention, escalation as appropriate
* Oversee the ACE360 platform containing relevant details for the End Point Assessment organisation.
* Ensure this is up-to-date and upload learner evidence for Gateway submission.
* Compliance check Gateway submissions
* Produce enrichment activities, monthly newsletters and calendar of events against required elements, incorporating enrichment pieces identified by Learning Coaches as a need
* Collaborate with Wellbeing Team for guidance on enrichment articles
* Report any safeguarding, wellbeing or learner concerns to the Safeguarding Lead.

Skills & Experience

Some of the key attributes we look for include:

* 3 years’ experience within an administrative environment
* Experience of working in an educational establishment would be desirable
* Detail oriented, task focused with an emphasis on getting things right on time, first time
* Excellent communication skills when working with colleagues, customers, learners and trainers
* Professional, courteous, passionate, flexible, pragmatic, personable with a confident, ‘can do’ attitude
* Innovative, inspiring, incisive individual who works with integrity
* Good IT skills, particularly with the Microsoft Suite of applications.
