Job overview
To provide an efficient, effective, professional, and confidential administrative and secretarial service to the team. The post holder will provide comprehensive secretarial and administrative support, including diary management and maintaining records in accordance with Trust policy. Ability to work to tight deadlines is essential.
Main duties of the job
Work closely with other administrative staff to ensure continuity of support and mutual assistance within the service. Provide cover for team members during absences such as annual leave and sickness, and when workload requires it.

The Deaf Child and Adolescent Mental Health Service (CAMHS) provides specialist mental health services for deaf children with emotional, behavioural, and developmental difficulties across Central and Southern England. The team comprises various mental health professionals with specialized skills.
Detailed job description and main responsibilities
* Serve as a point of contact for the team.
* Handle patient enquiries via face-to-face, email, and telephone using initiative.
* Communicate issues effectively to relevant parties.
* Prioritize workload to ensure administrative activities are accurate and timely.
* Undertake secretarial duties, including preparing correspondence and reports using various software.
* Coordinate electronic diaries and support clinic management by arranging appointments and rescheduling as needed.
* Ensure appointments are entered into the Trust’s clinical data system with electronic appointment letters.
* Liaise with other professionals to process referrals.
* Attend meetings and take minutes or action notes.
* Order stationery and consumables.
* Maintain secure, up-to-date filing systems for clinical notes and documentation.
* Manage incoming post, prioritizing urgent matters.
* Provide routine information tactfully and persuasively, communicating work procedures within the team and with other departments.
* Assist in administrative team meetings and take minutes as required.
* Participate in Personal Development Reviews and mandatory training.
Person specification
* GCSE English Grade C or above or equivalent qualification.
* Experience working within the NHS involving staff from other departments/organisations.
* Ability to be adaptive and flexible in response to additional workload, with examples.
* Detailed knowledge of Microsoft Office, including Word, Excel, and Outlook.
