At British Airways ARC, we're creating unforgettable experiences - and we're looking for a Scheduling Manager who can help us make that happen. You'll be the engine behind our event staffing operation - ensuring the right people are in the right place at the right time, every time.

This role is perfect for someone who loves data, thrives on organisation, and gets a buzz from seeing a perfectly planned rota come to life on event day.

What You'll Do

Manage the full scheduling of hourly staff for all events at British Airways ARC.
Manage and optimise the Rota One system, issuing rotas on time and ensuring accurate staff deployment.
Communicate hours to payroll with precision and attention to detail.
Work directly with hourly staff - answering rota queries, approving shift swaps and maintaining clear communication.
Monitor availability, attendance, sickness and no‑shows to ensure event readiness.
Partner with the FOH team to ensure staff onboarding, system access and payroll set‑up is smooth and efficient.

What We're Looking For

Relevant experience of working within scheduling or information area (preferably in hospitality or large scale events)
Experience using scheduling systems or software.
Excellent analytical skills.
Excellent and strong negotiation and persuasion skills, to facilitate schedule management in line with service need.
Organisation and self-management skills to manage and lead a project accurately and effectively.
Proven record of admin experience such as payroll and budget management.
Genuine passion and ability to work in a client focused environment.
High computer literacy and familiarity with Microsoft Office packages, including the use of spreadsheets and databases and reports.

Where: You'll be based at The British Airways ARC in Olympia. We offer flexible start and end times and currently work onsite 4 days a week and 1 day remotely. We are open to flexible working conversations.
