We are now recruiting for the exciting role of Integrated Management System (IMS) & Quality Coordinator, to be involved in the compliance for game changing technology within the nuclear industry.

The IMS & Quality Coordinator is responsible for maintaining and continuously improving the company's Integrated Management System (IMS) to support effective governance, compliance, and quality across the organisation. This role serves as the central point of coordination for all IMS activities will be responsible for providing integrity to IMS and its documentation.

The IMS & Quality Coordinator helps drive continuous improvement in how the business manages its IMS. By providing expertise in quality management and leveraging technologies (e.g. AI tools and Power Automate), this role enables efficient process control and automation.

Areas of Responsibilities:

The IMS & Quality Coordinator will carry out a broad range of duties to fulfil the role purpose. Key areas of responsibility include:

* IMS Maintenance and improvement: Maintaining and continually improving the IMS user interface tool (currently Microsoft SharePoint), to ensure it is up to date, user-friendly, and accessible to all employees. This includes managing site content and structure, permissions, and usability features. Supporting the maintenance and continual improvement of all IMS documentation – including policies, manuals, business processes, procedures, standards, templates, and guidance. This involves working across departments to manage core business documentation and processes in a centralised manner Implementation of enhancements such as better navigation, search functionality and automation (using Power Automate flows) to streamline how users interact with the IMS.
* Change Coordination: Coordinating and tracking changes to the IMS in line with the formal IMS change process. This involves receiving change requests (for any IMS-controlled document or process), logging them, and facilitating their evaluation and approval. The coordinator ensures that an effective change management control is applied to all IMS documents. Monitor the progress of each change request, send reminders for pending actions, and update stakeholders on the status. Once approved, the coordinator oversees the implementation of the change (updating documents, communicating the change, training users if necessary).
* IMS Document Control & Logs: Managing and maintaining the IMS logs that are used to track the status of IMS content. This includes keeping master lists or registers of all current IMS documents, their revision history, and metadata (approval dates, next review due, etc.).
* Communication of Changes: Communicating changes to the IMS (and other quality news) to the business on a regular basis. This could take the form of email bulletins, intranet news posts, or update meetings.
* Performance Measurement & Reporting: Capturing and reporting IMS-related performance and metrics. The coordinator defines key performance indicators (KPIs) for the IMS and tracks them on an ongoing basis. Also responsible for coordinating broader Quality management reporting
* Guidance & Change Process Documentation: Supports the production and update of guidance materials related to the IMS itself and the IMS change management process.
* Training & Awareness Support: Supporting IMS-related training and awareness activities. Develop or update training materials, such as slide decks, e-learning modules, or quick reference guides.
* Certification & Audit Support: Providing support to the Rolls-Royce SMR certification programme and managing external audits or assessments related to the IMS. This includes ensuring the company is ready for any certification audits (such as ISO 9001 quality management system audits) and coordinating responses to external nuclear regulatory assessments and reviews.
* Quality Initiatives and Continuous Improvement Projects: Supporting delivery of IMS technology projects to further enhance business performance and supporting other business-related quality initiatives and activities as the organisation continues to mature.

Key Results & What can be achieved in the role

* IMS Compliance & Effectiveness: The IMS remains compliant with relevant standards (e.g. ISO 9001) and regulatory requirements at all times, as evidenced by successful certification audits and regulatory reviews (no major non-conformances).
* Up-to-Date Documentation: All IMS documentation (manuals, procedures, templates, etc.) is kept current and well-controlled. Updates are implemented in a timely manner and properly approved through the change process.
* User Engagement: The IMS user interface (SharePoint site) is widely used and trusted by employees. High user satisfaction and adoption rates indicate the site is accessible and user-friendly (e.g. positive feedback, increased page hits or search queries on the IMS site).
* Effective Change Management: Changes to processes or documents are coordinated smoothly – change requests are tracked and completed on schedule, and stakeholders report that the change process is clear and well-communicated.
* Quality Improvement Metrics: Key performance metrics related to the IMS and overall quality improve over time. For example, monthly IMS performance reports show trends such as reduced document revision cycle time, improvements in process compliance, or faster closure of corrective actions.
* Communication & Training Impact: Regular communications about IMS updates reach all relevant staff, and IMS training/awareness sessions result in improved understanding of the management system (e.g. measured by quiz results or feedback surveys). The business exhibits a stronger quality and process culture as a result of these efforts.

Key Selection Criteria
IMS and Quality Management Knowledge

* Strong understanding of Integrated Management System frameworks and quality management principles. Familiarity with relevant standards and models (for example, ISO 9001 for Quality Management Systems) and an awareness of compliance obligations including external legal, regulatory, and nuclear industry requirements
* An ability to interpret these requirements and ensure they are reflected in company processes is key.

Technical Skills (SharePoint, Automation & AI)

* Proficiency in Microsoft SharePoint for managing content and site features, since the IMS is hosted on SharePoint. Experience with Microsoft Power Automate (Flow) to create automated workflows that streamline IMS processes (such as automated approval routing for document changes). Comfort with leveraging AI tools or data analytics to improve processes – for example, using AI to analyse usage patterns or assist in organising information.

Analytical and Reporting Ability

* Comfortable with data analysis and reporting. The coordinator should be able to define appropriate metrics for IMS performance, collect data (for example, from SharePoint usage stats or audit results), and utilise tools like Microsoft List, PowerAutomate, Excel and Power BI to analyse and present this data. Identifying trends in change requests or compliance issues and generating insights will help drive decisions. An analytical approach also aids in troubleshooting problems with processes or the IMS tool by digging into root causes.

Organisational & Coordination Skills

* Excellent organisational skills to handle a variety of documents, requests, and tasks methodically. The coordinator will be juggling multiple change requests, updates, and meetings at any given time, so the ability to manage projects and timelines is crucial. Attention to detail is essential for maintaining accurate records and ensuring no step in a change process is overlooked. Strong coordination skills are needed to bring together different and keep progress on track.

Communication Skills, Interpersonal & Collaboration Skills

* Exceptional written and verbal communication skills. This role involves writing clear process documentation and guidance, as well as summarising technical information for broad audiences. The coordinator must be able to communicate changes and training material in a way that is understandable at all levels of the business. Additionally, good facilitation and presentation skills are helpful when running training sessions or meetings. In the context of quality and IMS, an approachable communication style helps encourage people to ask questions or report issues.
* Strong interpersonal skills to build effective working relationships across the organisation. The IMS & Quality Coordinator interacts with a wide network of stakeholders (up to ~30 process owners and many other employees), so being able to collaborate, influence, and support others without direct authority is key. They should be a team player who can work closely with the rest of the quality team (15 colleagues) and also coordinate with departments like Engineering, Operations, IT, etc. Empathy and the ability to understand different perspectives will help in tailoring the IMS to serve various users' needs.
* Given that the organisation and its environment will evolve, the IMS & Quality Coordinator should be adaptable and quick to learn. They should be able to adjust the management system to accommodate changes. The coordinator should also be able to demonstrate resilience in the face of change and a proactive attitude to acquiring knowledge.

Training & Qualification Requirements
Mandatory:

* Degree qualified or equivalent experience, you will have working knowledge of operating within business, programme, or project environment.

Beneficial:

* Experience in Integrated Management Systems, quality systems, document management, quality control, continuous improvement or nuclear industry experience would be desirable.
* Experience with Microsoft SharePoint, PowerBI, PowerAutomate, CoPilot or equivalent tools.

Pay And Benefits
We anticipate paying a salary of between £28,800 - £38,000 DOE plus:-

* Bonus - On Target Performance Opportunity 7%
* Benefits Allowance – £2,200 per annum, enabling you to create a bespoke package
* Pension - 12% employer and 6% employee contributions.
* Holidays - 28 days holiday (+ public holidays) and the ability to buy or sell up to 4 days.
* Private Medical Insurance - BUPA single cover health care
* Life Assurance - 6x pensionable pay
* £250 - One-off payment for new starters for home office purchases
