Job Summary and Key Responsibilities: Duties will include: Provide office administration to ensure that daily/weekly tasks are completed and resource and service maintained. Meet and exceed both office and individual service standards Deal with standard enquiries for all areas efficiently and in a timely manner. Refer complex, difficult or legal queries to manager or relevant expert. PROCESS & PROCEDURES Follow the procedures and process maps for their areas of activities ensuring that all key time scales are met Ensure that all queries are dealt with promptly and effectively and action is always taken in line with agreed service standards. Maintain and use office systems effectively Initial response to complaints which come into Directors mailbox Daily banking of all monies which have been received by post First person to answer calls which come into Expert Services team, dealing with queries or transferring to relevant person Daily uploads to the TDS for the deposit monies received TDS information sent to tenant in line with process Clearing central mailboxes by responding to queries or passing emails onto appropriate team Weekly office stationary ordering Opening post daily which has been received Franking daily post for office Contractor management which would involve sending out paperwork to new leads, chasing up insurance policies and unpaid invoices. Provide additional administration support to other teams within the Property Management division as required Responsibility for ongoing monitoring of EPC compliance across the company Use online software to conduct company house searches, land registry enquiries and anti-money laundering checks. CLIENT & BRANCH RELATIONSHIPS Ensure that all relevant people are kept informed and up to date with progress particularly in relation to client issues / complaints. Manages expectation and ensure you follow up all queries.
