The role:
The post holder will be part of the Administrative & Clerical Team within East Dunbartonshire HSCP, working directly with the multi-disciplinary and administration team to support the service. The post holder will be required to provide an effective and efficient secretarial and administrative service to all members of the team. It is essential that the post holder is a proficient typist with excellent organisational and communication skills with the ability to relate to a wide range of personalities.

Shift Pattern - 0830-1630/ 30
Key responsibilities:
1. Provide highquality secretarial and administrative support to the Senior Nurse and multidisciplinary team to ensure efficient patient care.
2. Coordinate the Senior Nurses diary and meetings.
3. Record and draft minutes, noting decisions and required followup actions.
4. Arrange meetings, including venue booking, room setup, participant notifications, agendas, papers and presentation equipment.
5. Carry out copy and audio typing as required.
6. Prepare training materials and packs for Practice Development Nurses.
7. Handle telephone and facetoface enquiries from staff, patients, relatives and carers, prioritising and directing queries appropriately.
8. File and maintain client records in line with standards and Data Protection requirements, including discharges and records from other NHS departments.
9. Participate in preparation for inspections (training provided).
10. Maintain confidentiality in line with NHS Greater Glasgow & Clyde policy.
11. Maintain local computer systems, including SSTS, absence profiles and email (training provided).
12. Maintain mailing systems where required.
13. Manage stationery stock and ordering to ensure adequate resources.
14. Complete statistical returns within required deadlines and NHS GG&C standards.
15. Operate petty cash systems in line with financial instructions.
16. Work additional hours when required to meet service needs.
17. Prepare and organise workload prior to annual leave to ensure tasks are up to date.
Knowledge, training, qualifications and/or experience required to do the job:
Essential
18. 1 years secretarial experience
19. Standard Grade English or equivalent experience
20. Proficient in use of Microsoft Office Software including Microsoft Outlook
21. Experience of working in an administrative background
22. Keyboard skills requiring a high degree of speed and accuracy
23. Audio Typing
24. Excellent interpersonal skills
25. Good planning and organisation skills
