Why This Role Matters As a Clerical Assistant, you will be a vital part of the smooth running of our Southern Trust Services, ensuring accurate information, efficient processes, warm communication and a professional environment for staff and the people we support. ?? Key Responsibilities Provide High-Quality Administrative Support Deliver confidential and professional administrative support across Southern Trust Services. Use MS Office (Word, Excel, Outlook, PowerPoint), OneDrive and the Client Management System to a high standard. Support data collection, reporting, audits, and production of letters, presentations and training materials. Maintain Organisational Systems Manage petty cash, invoicing, lodgements and financial correspondence. Assist with health & safety building checks and support maintenance contractors onsite. Maintain confidential filing systems and ensure appropriate data disposal in line with retention schedules. Communication & Customer Service Manage service Outlook inboxes and respond to all inbound and outbound communications promptly. Welcome visitors and service users and ensure rooms are prepared for use. Support service users who may present in distress by escalating appropriately. Meetings & Events Organise meetings, book venues, manage diaries and prepare refreshments. Take accurate meeting minutes. Assist in organising service events as required. Team Collaboration & Continuous Improvement Build strong working relationships with colleagues, volunteers, service users and external partners. Apply a continuous improvement approach to ensure administrative processes are efficient and effective. ?? What We're Looking For Essential Experience At least 12 months' experience in an administrative role. Strong organisational skills and attention to detail. Confident use of Microsoft Office (Word, Excel, Outlook, PowerPoint). Circumstances Flexibility to meet business needs. Full driving licence and access to a car (reasonable adjustments considered). ??
