Executive Assistant to Charity CEO

Role Profile
Flexible, remote, full-time (40 hours per week) - open to considering part time.
Three to six-month trial period (by agreement).
Salary
£32,000 per annum FTE (pro rated if part time), plus 3% employer pension contribution (Nest Pensions).
About The True Athlete Project (TAP)
TAP is pioneering force for good, revolutionising sport through an imaginative, mindfulness-based approach.
We’re a community of athletes, coaches, mindfulness teachers, policymakers, and sport for change practitioners. Together, we design programmes that help every child and young person to flourish.
We work at all levels of sport - with schools and community centres, as well as Olympic/Paralympic/Professional athletes and national/international federations.

Purpose of the EA Role
* To enable our CEO to grow the charity; 2. to ensure the organisation runs brilliantly.
Key Responsibilities
* Maintain up to date financial processes and information; invoices, payments, expenses, etc.
* Complete monthly payroll and pension contributions.
* UK and US financial management, including budgeting, forecasting, cash flow and reporting.
* Arrange meetings and support good diary management.
* Liaise with trustees and coordinate board meetings - including gathering information for board reports and minute taking.
* Manage background checks process (infrequent).
* Maintain central key documents database and support with statutory reporting requirements.
* Support HR processes including recruitment, contracts, ID and background checks and staff records.
* Support fundraising activities, including campaign coordination and gift aid submissions.
* Support creation of marketing materials, typically on Canva
* Other administration / coordination as required, including drafting and updating contracts and service level agreements, and sending materials to charity customers, partners and funders.

* Diary management is driven by EA’s experience and confidence.
* CEO’s relationships are strengthened not weakened by having less interaction at the diary scheduling stage.
* Consistent error free financial administration, meeting scheduling, and public communications.
* CEO receives proactive requests and suggestions to take administrative and coordination tasks off CEO’s to-do list, and to improve systems and processes.
* CEO is less involved in readying trustees for board meetings and coordinating actions.
* CEO spends more time on high value projects and makes decisions based on information provided to him.
* The team is clicking, with good information flows, clarity and structure.
Person Requirements
Essential
* Eye for detail
* Empathetic and sensitive to the “customer journey”, including the ability to tailor tone and style as needed across the diverse groups we engage with
* Personally well organised and a structured planner
* Experience of managing CEO / MD diary
* Relationally open, warm and task (outcome) focused
* Proactive coordination - able to initiate and follow through
* Improvement oriented, with excellent problem solving skills
* Able to judge when to problem solve independently or when to ask for support and checks
* Adept at a range of situational responses - emails / phone / Zoom
* Takes responsibility for quality of written / financial checking output
* Comfortable remote working, using Zoom and Teams
* Proficient at using Canva
* Proficient at using accounting/bookkeeping software
* Proficient at using G-Suite (gmail, google docs, etc.)
* Feels strongly motivated by the aims and values of TAP
Desirable:
* Interest in sport, youth development, mental health, mindfulness
* Experience in fundraising
