Ashfield House Surgery is looking for a Reception Lead. This role is crucial for the smooth operation of the front desk and providing excellent patient services. The position is for 36 hours a week over 4 days, with working hours from 8.30am to 6.00pm.

We are a friendly village practice with just under 6,000 patients.

The candidate must have experience and knowledge of policy and procedure implementation.

We use SystmOne Practice.


Main duties of the job

The Reception Lead will supervise and support the reception team, ensuring all staff are trained and perform their duties effectively. You may need to conduct team meetings to discuss updates, address issues, and provide feedback.

Ensure patients receive a warm and professional welcome, both in person and over the phone.

Oversee scheduling of patient appointments, managing the system efficiently to ensure timely bookings. Coordinate with clinical staff to manage appointment availability and address scheduling conflicts.

Handle queries, complaints, and concerns efficiently and empathetically.

Maintain accurate and up-to-date patient records in the practice systems. Manage incoming and outgoing correspondence, including emails, letters, and phone calls.

Ensure reception staff adhere to practice policies and procedures, including confidentiality and data protection regulations.


About us

Ashfield House is a friendly GP Practice in Annesley Woodhouse with just under 6,000 patients. We are looking for a Medical Receptionist to join our team. Excellent communication skills and a caring, friendly manner are essential.

Flexibility to cover holiday and sick leave is required.

This is a demanding role requiring accuracy, an excellent telephone manner, good computer and office skills, the ability to multitask and work to deadlines within a team environment.

We are a good team committed to offering excellent service to our patients.

We have 1 GP Provider, 1 Salaried GP, 2 Salaried ANPs, 1 Practice Nurse, and 1 Health Care Assistant. We are also a training practice, with access to Clinical Pharmacists and Social Prescribers. Our high QOF achievement reflects our commitment to quality care, serving a list size just under 6,000. The practice is rated 'Good' by CQC.

Annesley Woodhouse is a rural village north of Nottingham, close to the M1, A38, Sheffield, and the Peak District. The practice serves a high elderly and chronic disease population, often requiring visits. The surgery is located in a converted house with three consulting rooms, a treatment room, upstairs clinic room, and a friendly reception/admin team.


Job responsibilities

The Reception Lead plays a vital role in ensuring the practice runs smoothly and patients receive high-quality care and services.

Maintain confidentiality of written, oral, or electronic information at all times, whether on or off-site.

Follow practice procedures to meet Caldicott Guardian and security requirements.

Ensure compliance with the Data Protection Act 1998.

Adhere to all practice protocols concerning ethical practice.

Support initiatives to ensure a safe and healthy environment, including hazard control procedures.

Support diversity and equality of opportunity, contributing to an inclusive culture.

Contribute to continuous improvement and meet quality assurance standards.

Demonstrate commitment to Continuing Professional Development.

Job specifics

Title: Senior Receptionist

Objective: To support the reception team in providing prompt, professional healthcare services.

Manage the day-to-day operations of the reception area efficiently.

Undertake administrative duties as requested by the Manager & Partners.

Responsible for: Self and reception team members.

Hourly Rate: Dependent on experience.

Hours: 36 hours per week, as per current schedule.

Conditions: Reception-based, non-smoking environment.

Essential Skills / Qualifications:

* Experience with clinical workplace systems, preferably SystmOne.
* At least 2 years reception experience in general practice.
* Positive outlook and willingness for personal development.
* Experience in team planning and workload distribution.
* Knowledge of general practice processes.

Supervising the reception area in the absence of the Reception Manager involves mentoring, supervising, and organizing staff, ensuring high standards and effective operation.


Person Specification


Experience

* Minimum 2 years experience required.
* Experience in a GP practice preferred.
