Senior IT Administrative Officer
Summary Profile:
One of the key roles within the Digital Transformation (DX) Department is to manage appropriate payment and asset management of purchased IT equipment and services.
The post holder will be responsible for reviewing and streamlining administrative procedures within the department, as well as providing administrative support alongside other members of the administration team.
Key Responsibilities:
1. Review current administrative procedures within the DX Department and implement approved changes related to internal accounting and procurement processes.
2. Handle administrative issues and queries promptly.
3. Perform any other tasks as requested by the General Manager to meet operational needs.
4. Organise and attend vendor meetings, assist management with product details and pricing.
5. Research, negotiate contracts with office equipment suppliers (Vodafone, Canon, Dell, Sansan, etc.).
6. Purchase, manage, and dispose of company IT equipment, including ordering, allocation, stock control, and disposal processes.
7. Process vendor payments and submit monthly/quarterly cost allocations for mobile devices, IT services, and expenses from Tokyo headquarters.
8. Coordinate business trips, visitor logistics, expense claims, interdepartmental meetings, and training sessions such as the European IT PIC annual meeting and MS Office training for EMEA users.
9. Supervise mobile phone rollout, lead device-related projects, and participate in other projects such as PC rollout.
10. Serve as the point of contact in EMEA for IT device contracts, resolving queries and issues.
11. Implement and deploy new devices and systems, liaising with Head Office and supporting Robotic Process Automation projects.
12. Manage mobile number activation, deactivation, and plan changes for users.
13. Develop and maintain relevant databases.
Relationships:
* Regular communication with vendors and overseas IT representatives.
* Internal communication within the organisation.
* Reporting to and liaising with the General Manager/Deputy General Manager of the DX Department.
* Collaborate with the DX administrative team.
Skills/Knowledge:
* Proficient in English communication (verbal and written).
* IT skills: Word, Excel, PowerPoint.
* Team-oriented with a proactive work approach.
* Excellent organisational, time management, and prioritisation skills.
* Knowledge of expense accounting and basic accounting principles.
Experience:
* Solid administrative experience, preferably within an IT department.
* Experience managing invoice processing.
This is a hybrid position based at the client’s office in St Paul’s, London.
The salary range for this role is £35K - £40K.
