Job Summary
We are seeking a highly organised and detail-oriented Administrative Assistant to support our office operations. The successful candidate will play a vital role in maintaining efficient administrative processes, ensuring smooth communication with students, and providing exceptional support to our team.
Duties
* Manage incoming calls with professional phone etiquette and direct enquiries appropriately
* Monitoring the PO Mailbox daily and adding the PO to the correct booking/creating the booking
* Ensure any PO or Pre Reqs added (received into the Mail;box) are actioned accordingly in liaison with sales teams
* Check ICorr header sheets as and when they come in from students before sending to ICorr for issuing Certificates.
* Review and mark student multiple choice exam papers from course assessments for Train the painter (TTP)
* Notify students of results and arrange resits, where appropriate, checking all systems for correct detailed feedback
* Keep student information up to date on the Training Management Software, including examination results
* Sending Certificates and ID cards to successful students. Arranging couriers where necessary
* Produce monthly and quarterly reports to partner companies for any registration / certification fees due.
* Managing Ticket requests from company TTP trainers – raising the booking, and actioning when a PO is provided where applicable.
* Review and monitor Proctorio (assessment software) once students have completed their examination papers
* Update the online assessment platform, adding examinations, updating questions and posting assessments
* Liaise with trainers to mark essay papers and to receive results of practical workshops. Send students their examination results once completed
* Action QCA results when they come in, adding results to the platform, creating a booking and producing the ID card.
* Daily check of Survey Monkey for general survey responses and communicate to relevant departments. Creation of surveys as and when needed.

Requirements
* Previous office or administrative experience is preferred
* Strong organisational skills with the ability to prioritise tasks effectively
* Proficient computer skills including Microsoft Office (Word, Excel, PowerPoint), and data entry software.
* Good phone etiquette with clear communication skills
