Job Overview
We are seeking a highly organised and enthusiastic professional Lead Receptionist to manage our front desk operations 3 days + 1 Saturday per month (According to Rota) and Co-Manage the practice. The ideal candidate will be the first point of contact for clients and visitors, ensuring a warm welcome and efficient service. This role requires excellent clerical skills, a strong command of office procedures, and the ability to multitask effectively in a busy environment.
Duties
* Greet clients and visitors with exceptional phone etiquette and professionalism.
* Oversee day to day running of the practice.
* Ensure CQC, Health & Safety and infection control compliance.
* Support implementation of practice policies and protocols.
* Manage incoming calls, emails, and correspondence, directing them to the appropriate personnel.
* Handle recruitment, onboarding and staff development.
* Conduct performance reviews and address HR matters.
* Perform data entry tasks accurately and efficiently using various software applications.
* Manage staff rotas (clinical and admin).
* Maintain an organised reception area, ensuring it is tidy and welcoming at all times.
* Assist with administrative tasks such as scheduling appointments, managing calendars, and coordinating meetings.
* Utilise Google Suite for document creation, data management, and communication purposes.
* Support financial operations by processing invoices and managing records.
* Collaborate with team members to ensure seamless office operations and provide support where needed.
* Handle complaints and service recovery when needed.
Skills
* Strong organisational skills with the ability to prioritise tasks effectively.
* Proficient clerical skills including typing speed and accuracy.
* Competent in using computerised systems for data entry and office management.
* Familiarity with Google Suite applications (Docs, Sheets, Calendar).
* Excellent phone etiquette with strong interpersonal skills for client interactions.
* Familiarity with dental software (SOE/EXACT).
* Understanding of dental compliance (CQC, GDC, GDPR).
* Ability to work independently as well as part of a team in a fast-paced environment.
* Experience in clinical and admin area of Dentistry.
