We are seeking a highly organised and proactive Office Manager to support the daily operations of our rural surveying practice. The successful candidate will play a key role in ensuring the smooth running of the office and assisting the team in delivering a high standard of professional service to our clients.
Key Responsibilities
* Oversee daily administrative operations of the office
* Provide PA/secretarial support to directors, including diary management, report formatting and document preparation
* Answer and direct incoming calls and emails in a professional manner
* Act as the first point of contact for clients and visitors
* Maintain and organise office records, databases and filing systems (both digital and physical)
* Assist with the preparation and submission of planning documents
* Coordinate with external suppliers, contractors and service providers
* Manage office supplies, IT coordination, and facilities
* Support marketing efforts including updates to multiple online portals
* Maintain accurate timesheet records on behalf of one of the directors, ensuring timely and precise entry of hours worked on client matters and internal tasks to support accurate invoicing
* Assist with invoicing, accounts support, VAT return and liaise with external accountants
Skills and Experience Required
* Proven experience in an office management or senior administrative role, ideally within a rural property, estate agency, or professional services environment
* Excellent organisational and multitasking skills
* Familiarity with accounting software such as Xero or similar packages (desirable)
* Strong written and verbal communication skills
* High level of proficiency in Microsoft Office (Word, Excel, Outlook and Publisher)
* Ability to work independently and take initiative
* Accurate typing skills to efficiently manage correspondence (Touch typing is desirable)
* A friendly and professional manner, with a strong focus on client service
* Interest or background in rural affairs, agriculture, or land management is a plus
