Offer description

We are looking for a Project Administrator to join our growing PMO group. Success in the role requires effective co-ordination of project administration tasks in conjunction with Project Managers, fellow Project Administrators and colleagues from across the business.

The role will involve providing administrative support to a variety of projects. The responsibilities within the project may include:

Supporting the project manager with the following:

* project start-up, close down and archiving
* on-boarding of new project team members
* tracking project costs, forecasting, reporting and associated administration

Supporting project teams with the following:

* coordinating and recording the output of meetings
* booking travel
* project book administration
* data input
* document formatting, control and filing
* procurement for project team members and materials control
* Good level of academic achievement to A’ Level or equivalent
* Good level of administrative skills
* Strong written and verbal communication skills
* Experience of working in a fast-paced company requiring diligence and accuracy
* Excellent organisational skills and attention to detail
* Someone who uses their initiative, is proactive, and takes responsibility
* Able to work effectively in close collaboration with other project administrators and members of project teams
* Highly experienced user of Microsoft Outlook and Microsoft Office, specifically, Word, Excel (including basic formulae) and PowerPoint
* Experienced in using SharePoint
* Numerate and familiar with basic financial documentation e.g. purchase orders, invoicing
* Ability to liaise with clients and suppliers
* Project administration in a consulting or services environment
* Experience coordinating and booking travel arrangements
* Experience in an environment with a Quality Management System
* Ability to manage complex document flows
* Ability to work on a number of different projects or tasks at any one time, manage own time effectively and manage conflicting priorities
* Capable of supporting planning and costing activity and monitoring project budgets and activities against project plan
* Experience in using advanced planning, visualisation and presentation tools, e.g. MS Project, Smartsheet
* Dependable and willing to take responsibility for own tasks
* Aware of own limitations and knows when to ask for help
* Respectful of others’ views and contributions and is supportive of colleagues
* Approachable and enthusiastic with a positive and helpful attitude
* Flexible and pragmatic in relation to work practices
* Displays initiative and is able to solve less than routine problems
* Calm under pressure and able to cope with changing scope and fast-moving projects
* Confident dealing with colleagues at all levels and with managing expectations of others
* Collaborates effectively and is a good team player, keen to work as part of a project administration team to provide a seamless service
