Job Title: Governance & Compliance Assistant

Job Purpose
The Governance and Compliance Assistant will report directly to the Senior Compliance Manager. This role is designed to assist the Compliance Manager in ensuring that the organisation, along with its employees—both direct and indirect—and its projects adhere to all pertinent regulations and specifications. These may encompass health and safety, environmental, legal, and quality standards, in addition to any ethical policies implemented by the company.
The incumbent will be responsible for maintaining and executing compliance directives, as well as conducting performance analysis monitoring. When necessary, the assistant will implement interventions aimed at supporting and enhancing alignment with compliance performance standards.
Key Accountabilities
* Facilitate the administration of the Compliance Group Board, its sub-committees, and key internal meetings, as well as managing ad hoc requirements. This includes overseeing the entire meeting process, which encompasses minute-taking, calendar management, Agenda Spec and strategic planning for future meetings.
* Assist the organisation by performing compliance analytical and transactional assessments to evaluate business performance across critical areas.
* Serve as the primary point of contact for inquiries related to Compliance statistical reporting, leveraging expertise in the subject matter.
* Collaborate with stakeholders across the organisation to promote compliance with governance and compliance performance standards, including reviewing processes and monitoring adherence to applicable laws, regulations, and policies.
* Aid in the timely completion of weekly, monthly, and annual performance delivery reports and presentation documents, including submissions to operational and Compliance management teams.
* Provide secondary support for all compliance-related performance processes and communication arrangements pertaining to performance services.
* Ensure timely delivery of compliance and PPM reports to City Operational Managers and Subcontractor Managers.
* Liaise with internal teams and external stakeholders to gather relevant data and updates for reporting purposes.
* Maintain accurate documentation and records to support audit readiness and regulatory compliance.
* Continuously improve reporting processes to enhance clarity, accuracy, and efficiency.
* Track and follow up on outstanding compliance actions, escalating issues where necessary to ensure resolution.
* Support the National Electrical manager with tracking and management of EICR remedial issues.
* Lead weekly compliance meetings with Operational Managers and Subcontractor Managers to review -
* Overview of current month's compliance metrics and PPM evaluations
* Assessment of aged tasks and overdue Planned Preventative Maintenance items
* Review of certification status alongside outstanding remedial actions required
* Facilitate regular meetings with subcontractors to thoroughly examine and address overdue compliance items and PPMs, thereby ensuring punctual completion and strict adherence to contractual obligations.
* Participate in Supplier Relationship Management (SRM) reviews and supplier meetings to foster effective collaboration, monitor performance, and ensure alignment with compliance expectations.

* Acquainted with and possessing a working understanding of the Facilities Management.
* Possession of educational credentials equivalent to GCSE/Standard Grade level
* Knowledge and understanding of the Customer Contract
* Proficient in the extraction, collation, and presentation of performance data pertinent to business objectives
* Capability to operate effectively under pressure
* Demonstrated confidence in liaising with contractors
* Proven experience in cultivating robust working relationships with colleagues
* Openness to working flexible hours to meet business needs
* Competent in PC and Microsoft usage.
* Prior experience in delivering presentations to management is preferred
* CAFM System knowledge advantageous.
* A background in engineering or formal engineering qualifications would be considered an asset.
