Assistant Coordinator – Children and Young People’s Services

Location: Head Office Bedford
Reports to: Children and Young People’s Service Manager
Job purpose: To support the Children and Young People’s team in delivering services and support across Bedfordshire and Milton Keynes
Contracted Hours: 22.5-37.5 hours per week Part-time and Full-time considered
Working Pattern: Monday – Friday, 9am – 5pm (Occasional evenings and weekends will be required)

About the Role
We’re looking for a proactive and highly organised Assistant Coordinator to join our busy Children & Young People’s team. This is a varied and rewarding role where you’ll support the day-to-day operations of our services, from managing helpline enquiries and supporting events, to helping deliver services for families and providing essential administrative support.
This position is ideal for someone who is confident, responsive, and thrives in a dynamic, fast-paced environment. You’ll need to juggle multiple priorities, take initiative, and work effectively both independently and as part of a team.
Key Responsibilities
Service Delivery
* Support and assist with the delivery of services where needed.
* Support Coordinators in booking venues, activities, and transport for services and events.
* Assist with preparing resources for community events, including service guides and display materials.
* Manage paperwork and ensure service records are accurate and up to date.
* Represent and promote Autism Bedfordshire services across Bedfordshire, Luton and Milton Keynes.
Helpline & Enquiries
* Answer helpline calls with empathy and professionalism, recording accurate information.
* Undertake face-to-face helplines should these arise at community events/drop-in sessions.
* Provide initial information and signposting or refer callers to relevant team members.
* Manage the enquiries inbox and respond to queries, share resources, or forward to colleagues where appropriate.
Administration and IT
* Keep helpline and enquiry records up to date across databases and internal communications.
* Maintain accurate site files for services that meet Ofsted and internal standards.
* Use a range of software tools (e.g. Salesforce, LoveAdmin, Excel, Word, Outlook, Adobe, Publisher, PowerPoint, Canva) to complete day-to-day admin tasks.
* Support team to raise the profile of the organisation and services across social media platforms.
Data and Reporting
* Ensure all data handling complies with GDPR and internal data protection policies.
* Maintaining accurate records in line with data protection and GDPR requirements.
* Record helpline usage, identify trends, and compile statistics for reporting.
* Help generate reports from booking software and maintain accurate internal and external records.
* Support the team to collate feedback from all stakeholders to support evaluations and funding reports.
Communication and Networking
* Act as a point of contact for families, external agencies, and practitioners.
* Signpost relevant cases from the helpline to other services or partner organisations.
* Represent and advocate for autistic children and young people at community events and meetings.
* Network locally to stay informed about services available to families in Bedfordshire and Milton Keynes.
* Promote Autism Bedfordshire’s services and feedback local needs and insights to the Children and Young people’s team.
What We’re Looking For
* Experience in an administrative or coordination role.
* Excellent communication, organisation, and time management skills.
* Confident working with databases, design tools, social media and Microsoft Office applications.
* Ability to manage competing demands and work independently.
* A good understanding of autism/or willingness to learn about the needs of autistic children, young people, and their families.

* Work within the ethos, vision and values of the organisation and in line with all policies and procedures.
* Some evening or weekend attendance at Autism Bedfordshire services and events will be required.
* Full training on internal systems and services will be provided.
* This role is based at our Bedford Head Office with requirement to travel around Bedfordshire and Milton Keynes
* Valid driving license and access to a car is essential

* All staff must report and share any safeguarding concerns immediately to an Autism Bedfordshire Designated Safeguarding Lead.
* To ensure that this is achieved we expect all employees to share this commitment and staff working with these vulnerable groups will be recruited and selected in line with safer recruitment policies and practises including the completion of an Enhanced DBS check.

* Risk Assessments should be carried out, signed off and shared with others in advance of any visits or community support taking place with C&YP and their families.
