This position requires someone who is organised and efficient with a professional, detail-oriented approach. The ideal candidate will be a quick learner with a collaborative mindset, able to integrate seamlessly into the team and provide trusted support throughout the contract.
Duties & Responsibilities
* Work collaboratively in a team of three alongside our existing Document Services Coordinators to oversee the smooth running of Opus 2's transcript production function, liaising with other departments within Hearing Services to ensure transcripts are finalised and delivered to clients promptly and in the correct format.
* Develop proficiency quickly in our internal software and other industry-specific tools, such as Total Advantage Eclipse and CaseCATalyst.
* Produce and format High Court judgments and rulings to the highest standards.
* Collect and organise audio recordings, ensuring they are stored in the correct location, and edit or split files when required for synchronisation with transcripts.
* Process transcript amendments — including detailed errata returns — accurately and within agreed deadlines, working closely with clients and internal teams.
* Support colleagues and stakeholders by circulating transcripts and providing ad hoc assistance, carrying out daily IT checks in hearing rooms, and maintaining accurate records in line with quality processes.
Requirements
* Bright, engaging, and proactive, with a willingness to learn and use initiative.
* Excellent communication skills, both verbal and written.
* Strong attention to detail, with effective time management and the ability to handle multiple tasks, adapt, and work well under pressure.
* Proficient in Microsoft Office applications (Word, Excel, Outlook, PowerPoint).
* Collaborative team player with a flexible attitude to meet the changing needs of the business and clients.
* Experience in an administrative, client-facing, or professional services role is desirable.
Hours
* Full-time role (37.5 hours per week), covering the hours between 9:30am and 8:00pm on a weekly rotating basis within the team.
* Flexibility required, with occasional work outside of these hours (including evenings or weekends, either in the office or remotely) to meet business needs.
* Variable workload, with quieter periods anticipated during court recesses and at other times; during these periods, you may be asked to support other areas of the business, with working hours adjusted accordingly.
