M4 Recruitment are working with a busy charity who are seeking an administrator to start asap. Working hours 0900 - 1400 Monday to Thursday with some flexibility required. GOVERNANCE To co-ordinate and arrange meetings and reserve adequate meeting space. To prepare and distribute agendas and papers ahead of meetings and maintaining the minute book. FINANCE To issue purchase orders and invoicing; maintaining up to date ledgers for invoicing and expenditure. To ensure that all cash and cheques are deposited into the relevant bank account as soon as practicable. To co-ordinate expense claims from staff, trustees and volunteers. BOOKINGS To hold overall responsibility for the hire of the Foundations facilities. To advertise facilities and greet potential hirers to achieve the highest number of bookings. SITE OPERATIONS To co-ordinate grounds maintenance staff advising on areas needing attention and monitoring completion. To liaise with cleaners on the schedule of hirers. To research and organise fire safety risk assessments, fire extinguisher testing and electrical PAT testing as per regulations. Liaise with CCTV and intruder alarm company. To be responsible of maintenance schedule of the buildings including general and sanitary waste contracts. To be the first point of contact for Health and Safety matters working with the contractors to update incidents logs, organise and record appropriate actions. GENERAL ADMISNTRATION To be the first point of contact via telephones, mail, email, IT, and website. To facilitates the smooth running of the office to include maintaining a tidy workspace. To liaise with clients, volunteers, suppliers and other staff. To take care of website functions and social media profiles. GENERAL DUTIES To attend workshops and conferences when requested. To undertake any ad hoc duties that may reasonably be required. This is a temporary ongoing role that could become permanent following a qualifying period.
