Prosthetic Receptionist/Administrative Support
Livewell Southwest is recruiting for a Prosthetic Receptionist/Administrative Support role. Location: Prosthetics, 1 Brest Way, Derriford, Plymouth, PL6 5XW. Pay: £24,465 per annum, pro-rata. Overview
The role supports the multidisciplinary team at the Thornberry Centre to assist the clinical team in all aspects of patient care and to provide day-to-day administrative services that support clinical staff, ensuring a patient-oriented service. The clinical team includes a Consultant in Rehabilitation Medicine, Physiotherapist, Prosthetists and Specialist Nurse.
Responsibilities
* Provide support to customer and visitor reception areas, acting as the first point of enquiry and signposting to relevant information or services.
* Promote the image of the department, ensuring notices and leaflets are up to date and well presented.
* Record complaints, compliments, concerns, comments and suggestions and resolve where possible within the level of the role or escalate appropriately.
* Respond to telephone, email and written queries on behalf of the service area and handle calls as agreed with the line manager.
* Arrange appointments, meetings and events, make bookings where necessary, and ensure equipment and documentation are available with input from the line manager as required.
* Produce informal minutes as an accurate record of meetings, transcribe and distribute as directed.
* Maintain accurate and timely electronic and hard copy information, support access to management information, and manage electronic and hard copy records.
* Collect data to enable managers to monitor budgets and performance, with support from the line manager; prepare information for service area users.
* Maximise use of electronic systems (e.g., Microsoft Office and patient record systems) for effective service management.
* Ensure compliance with Data Protection and record management policies, with emphasis on confidentiality and safeguarding.
* Contribute ideas for improvement and work proactively to support the team; able to work on own initiative and prioritise work within policies and procedures.
* Ensure office support services (post, filing, photocopying) are delivered in a timely manner.
* Process and pass for payment all relevant invoices in a timely manner with line manager support; assist with banking and remittance services (including petty cash).
* Monitor stock levels (e.g., stationery) and report low levels to the Line Manager; undertake research and development as directed.
* Generate and print letters to patients, therapists and GPs as required; ensure messages are actioned and patient records are accurately maintained.
* Enter data into the service patient administration system and assist with development of prosthetic administration and office procedures to improve efficiency and accuracy.
* Be aware of developments within the service and pass information to patients and enquirers; collate and input data for Friends and Family Questionnaire; carry out any other duties as required by the service.
Qualifications
Essential
* Educated to NVQ 2 in a relevant subject or equivalent qualification or significant relevant experience
* Good general education to GCSE level or equivalent
* Intermediate word processing, MS Office Word and Excel
* Good understanding of confidentiality
Desirable
* Computer/Word processing qualifications (e.g., RSA2/3) or equivalent
* European Computer Driving License (ECDL) or equivalent knowledge
* Knowledge of patient administration systems
* Understanding of Data Protection legislation
