Job Description

Bookkeeper / Administration Assistant (Part-Time)
Hours: Circa 15 hours per week

Kingswells Medical Practice is seeking a reliable and detail-orientated Bookkeeper / Administration Assistant to join our friendly and supportive team. This part-time role will primarily focus on payroll processing, alongside providing bookkeeping and financial administrative support to the Practice.

This position would suit someone with previous exposure to payroll or financial processes in General Practice or who is looking to develop their skills within a primary care setting. Formal bookkeeping qualifications are not essential, as training and support will be provided where appropriate.

Working in a fast-paced, patient-focused environment, you will play an important role in supporting the smooth and efficient running of the Practices financial and administrative operations.

Key Responsibilities:

Payroll Processing:

1. Payroll Management:Process payroll for all Practice staff, ensuring accurate and timely payments.
2. Timesheet & Attendance Tracking:Monitor attendance, overtime, sick leave and holiday records for payroll calculations.
3. HMRC Submissions:Submit payroll data to HMRC, including PAYE and NI contributions, in line with relevant tax regulations.
4. Deductions & Benefits:Ensure correct deductions for pensions, tax, National Insurance contributions and other benefits.
5. Payroll Queries:Handle any staff payroll queries and resolve issues promptly and professionally.

Bookkeeping Support:

6. Transaction Recording:Assist with recording financial transactions for the Practice, including paying invoices and tracking daily transactions.
7. Bank Reconciliation:Regularly reconcile bank statements and ensure the accuracy of records.
8. Supplier Payments:Process payments to suppliers, ensuring invoices are matched correctly and paid on time.

Administrative Support (Financial Focus):

9. Document Management:Maintain accurate financial and payroll records in accordance with company policies and data protection regulations.
10. General Admin:Provide administrative support as needed, including filing and handling financial-related correspondence.

Essential Skills & Attributes:

11. Attention to Detail:Accuracy is essential when processing payroll, managing financial records and handling staff queries.
12. IT Skills:Strong working knowledge of Microsoft Office (especially Excel) and the ability to quickly learn payroll software. Experience with payroll software such as Iris Payroll is desirable.
13. Organisational Skills:Ability to prioritise tasks and manage time effectively in a busy environment.
14. Communication Skills:Clear communication skills to effectively address payroll-related queries and collaborate with the team.
15. Confidentiality:Comfortable handling sensitive financial and employee information, with a strong understanding of data protection principles.

Desirable Skills:

16. Payroll Exposure:Experience with payroll processing, preferably within a healthcare or similar setting, is desirable but not essential.
17. Bookkeeping Exposure:Basic knowledge of bookkeeping or financial processes is a plus.
18. Healthcare Experience:Experience working within a GP Practice or healthcare environment is a bonus but not required.
19. Artificial Intelligence: An interest in, and exposure to, the development A.I. systems in the workplace
