The Trainee / Modern Apprentice Clinic Coordinator role is an entry-level position designed to support the smooth day-to-day running of the clinic while the post-holder completes a recognised Modern Apprenticeship, Customer Service. This role provides structured training, close supervision, and progressive responsibility. The Trainee Clinic Coordinator will develop the skills, knowledge, and confidence required to deliver a welcoming, professional, and inclusive front-of-house service, while learning core administrative and patient-facing duties within a clinical environment.\n\nPatient Interaction & Front-of-House Support (with training and supervision)\n⢠Act as a welcoming first point of contact for patients, visitors, and contractors, both in person and via telephone or email. ⢠Learn to handle patient enquiries safely, respectfully, and confidentially, escalating complex or sensitive matters to senior staff. ⢠Support appointment booking and scheduling using clinic systems, under guidance. ⢠Develop skills in calm, compassionate communication, particularly with diverse and vulnerable patient groups. ⢠Observe and learn appropriate responses to complaints, safeguarding concerns, and service issues, escalating as required.\nAdministrative & Operational Support (progressive learning)\n\n⢠Support basic administrative tasks including filing, scanning, photocopying, data entry, and post handling. ⢠Learn to maintain accurate patient records in line with data protection and confidentiality requirements. ⢠Assist with preparing correspondence, emails, and documents under supervision. ⢠Observe and support payment processing and receipt issuing, where appropriate. ⢠Assist with stock checks and ordering of office and clinical supplies. ⢠Support clinic opening/closing procedures and basic health & safety checks once trained. ⢠Assist the wider team during busy periods and to ensure continuity of service. Learning, Development & Apprenticeship Requirements\n\n⢠Actively work towards completion of a Modern Apprenticeship in Customer Service⢠Attend all required training sessions, workshops, and assessments as part of the apprenticeship programme. ⢠Apply learning from the apprenticeship directly to the workplace with support from supervisors. ⢠Seek feedback, reflect on progress, and demonstrate continuous improvement. ⢠Build knowledge of clinic systems, procedures, safeguarding, confidentiality, and inclusive healthcare practices.
