Role Description
Role: Warehouse Manager responsible for the GDP/GMP Distribution Warehouse and maintaining full GxP compliance, including stock accuracy, warehousing orders processing, goods transportation (Goods In and Out), and customer satisfaction. The Warehouse Manager reports to the COO and collaborates with Cultivation and Production managers.
Responsibilities
* Compliance and Training: Ensure the warehouse consistently meets GMP/GDP and HSE standards; maintain up-to-date training records for all warehouse staff and provide ongoing learning opportunities.
* Quality Management and Regulatory Obligations: Complete QMS tasks promptly (Incidents, Deviations, CAPAs, Change Controls, Risk Assessments); maintain SOPs; calibrate equipment; respond to Internal Audits; onboard suppliers; manage Recalls; perform routine Temperature Mapping; host regulatory inspections.
* Supervision and Daily Operations: Supervise daily warehouse staff and onsite/offsite activities; ensure shift coverage; manage stock receiving, perpetual inventory, stocktaking, picking, packing, and forklift operations; follow SOPs for checking, locating, picking, and packing goods; ensure delivery notes are accurately created and recorded; support deliveries to site for all departments; assist with Home Office Annual returns.
* Warehouse Safety, Security, and Organisation: Develop and implement safety and security programs; keep paperwork organized; use IT systems to coordinate order cycles, stock levels, delivery schedules, and transportation costs; maintain a clean, tidy, and organized warehouse.
* Logistics and Customer Service: Collaborate with Sales and QA to manage Goods In/Out for timely stock movement; liaise with approved logistics providers to arrange deliveries; assist Customer Service with storage/distribution inquiries and complaints; ensure proper packing and loading to minimise transit damage.
* Staffing, Training, and Performance: Maintain correct staffing levels; ensure operators complete appropriate training; manage Deviations and CAPAs within timelines; empower staff and handle hiring, training, guidance, discipline, and termination as needed.
* Facility Oversight and Continuous Improvement: Oversee Environmental Monitoring System (EMS) for warehouse facilities, CD vault, and cold store; perform Head of Production duties when necessary; inspect warehouses, equipment, and vehicles; analyse data to identify performance improvements.
* Other Duties: Support the Responsible Person (RP) as needed; ensure only approved transportation systems are used; perform other reasonable tasks as directed.
Qualifications
* University degree with 5 years’ GMP experience
* CPD for controlled drugs; GxP (preferred)
* GMP and GxP experience; knowledge of Regulatory Affairs and GMP guidelines
* Strong problem-solving and communication skills; able to host and minute meetings
* Willing to work flexible hours
* Strong organisational and time management skills; team player and independent worker
* Ownership of personal development; adaptable and proactive
* Strong IT skills (Word, Excel, Outlook); ability to learn Sage/MS Copilot
* Good listener and active participant in discussions; familiar with Home Office regulations for controlled drugs
