Title: Assistant Facilities Manager Location: Newcastle Upon Tyne The Assistant Facilities Manager will play a key role in the coordination and delivery of services across a busy 12-school contract within the Northeast Priority Schools framework. Based at the Galliford Try Team Valley office, this role acts as the central point of contact and coordination between the Helpdesk, CAFM team, central Admin team, Site Engineers, and Contract Management team. The primary aim is to ensure that both planned and reactive tasks are raised, managed, and closed in line with contract requirements, while maintaining compliance with Health & Safety standards and Galliford Try policies. What You Will Be Doing Assist the Contract FM to oversee day-to-day operations across 12 schools, ensuring service delivery meets contractual obligations. Act as the liaison between Helpdesk, CAFM team, Admin team, Site Engineers, and Contract Management team. Monitor and track tasks through the CAFM system, ensuring timely completion of planned and reactive works. Work closely with a team of 6 engineers and 3 contract management staff, providing support and coordination. Organize cover for engineers during sickness and holidays as directed by the Facilities Manager. Ensure all works comply with Health & Safety regulations, GT standards, and statutory requirements. Review subcontractor performance, including RAMS, remedial actions, and compliance documentation. Assist with reporting, life cycle planning, onboarding of suppliers, and maintaining COSHH records. Support invoice generation, purchase order processing, and timesheet approvals. Complete monthly compliance trackers and H&S reports. Respond to client and stakeholder queries promptly and professionally. Maintain visibility and communication across all sites to ensure client satisfaction. About You: Strong organizational and coordination skills. Ability to manage multiple priorities across a large, multi-site contract. Excellent communication and stakeholder management skills. Familiarity with CAFM systems and FM compliance standards.
